Overview

Princeton University’s School of Policy and International Affairs (SPIA) hosts approximately 60 events each year, designed to facilitate learning and highlight expertise across public policy and international affairs sectors. At SPIA, we embrace interactive and engaging events that encourage learning, collaboration, fuel creativity, spur reflection, and inspire action.

SPIA is seeking an Events Manager to lead the planning and execution of a best-in-class slate of in-person and virtual events, meetings, convenings, Leadership Series, and public talks. Reporting to the Associate Dean for Public Affairs and Communications, and working in close collaboration with the Public Affairs Coordinator and other key members of the team, this role will bring to life Dean Amaney Jamal’s ambitious vision and turn events into catalyzing opportunities to drive SPIA’s priorities. The Events Manager will partner with teams across the school to coordinate events on our Princeton campus, as well as occasional events that the school hosts in regional and international locations.

The ideal candidate will be an experienced and resourceful professional events planner who understands how to design and segment audience-focused experiences that fit within strategic priorities and direction. We are seeking a proactive, highly-organized, resourceful individual who will bring deep event planning and project management expertise along with the ability to consistently work cooperatively and collaboratively with persons at all levels of the School to deliver high-quality events while demonstrating a passion for organizational mission. The individual should be able to communicate effectively and enhance our programs and events through thoughtful and seamless operations and project plans, managing multiple workstreams simultaneously.



Responsibilities

Events Strategy Lead

  • Understand the needs and core objectives of SPIA event strategy, acting as an internal advisor around curating events to achieve the desired outcome,
  • Manage planning and logistics required to bring events to life.
  • Partner with SPIA colleagues to effectively manage many complex, multi-stakeholder workstreams, projects and processes.
  • Understand organizational priorities and translate this into plans for well-orchestrated events.
  • Serve as a valuable contributor during event planning processes; proactively look for and act on potential needs, problems, and solutions as appropriate -- especially with regard to envisioning the event flow; anticipate and communicate possible challenges and present alternative options for consideration.
  • Directly manage the Public Affairs Coordinator.
  • Design and bring both in-person and virtual events to life, ensuring participants are engaged in a meaningful way with the event content, and with one another.
Events Evaluation and Best Practice Development

  • Track and evaluate events against key success metrics, with an eye toward continuous improvement, including audience satisfaction, attendance, registration experience, etc.
  • Create and manage clear processes for budget development and ongoing budget management.
  • Analyze and evaluate what is working and what is not in the planning processes and make course corrections as needed; codify and communicate best practices.
  • Research and utilize technology to maximize efficient and effective planning and communication about tasks and progress.


Qualifications

Qualifications:

  • Bachelor’s degree required; 5+ years of professional experience in events and project management, large-scale convening management, and/or other areas that require bringing an event to life from conception to execution, as well as ability to balance competing priorities against a fixed deadline.
  • CMP or CSEP strongly preferred; experience participating in professional networks/associations of event planners is helpful. Candidate should be able to show examples of their past events experience via a portfolio or website.
  • Experience working with comprehensive event management tools (e.g. CVent) or other project management software or tools helpful.
  • Demonstrated experience successfully managing both in-person and virtual events and knowledge of best practices for engaging audiences with a variety of event experiences; possess strong onsite leadership skills; manage challenging situations with diplomacy and professionalism.
  • Exceptionally detail-oriented with an ability to develop and manage strong relationships with a diverse community of faculty, staff and students.
  • Creative thinker, exceptional communicator, and creative problem solver.
