Department Summary
University Health Services (UHS) is a unit within the Division of Student Services and Enrollment Management and is a nationally accredited (AAAHC) outpatient clinic providing primary care to students at the University of Oregon. All staff are required to uphold the values of the UHS.

This position works in support of the University Health Services mission and vision and is consistent with UO policy. Some aspects of this position may be completed in collaboration with other University departments.
Position Summary
As PT Services Front Office Coordinator, this position functions as the initial contact between Physical Therapy Services personnel and patients. As such, it is imperative that this individual be able to handle a busy environment with frequent interruptions with calm professionalism.

Primary duties include managing all the prior authorizations for PT Services including checking insurance benefits, communicating with insurance companies, completing the prior authorization procedure, documenting the prior authorization information in the electronic health record, and handling all approvals, denials, plus peer review scheduling. Additionally, front office tasks include schedule management, patient chart management, answering phones, faxing documents, gathering clinician data (NPI numbers, ICD-10 codes, outside records, etc.), filing charts, reconciling patient insurance and billing, performing departmental billing and ticketing, maintaining effective communication between the front office area and the clinical areas, and providing administrative support.

This individual must be able to independently screen patients to determine the urgency of their appointment(s). Additionally, this individual must be able to independently manage multiple provider schedules to ensure maximal efficiency on a day-to-day basis.

Position requires successful completion of a criminal background check and routine screening of Medicaid and Medicare Exclusion Lists. Employee loses eligibility for employment if on the List of Excluded Individuals and Entities (LEIE) and/or System of Award Management (SAM). Must be in compliance with UHS policies regarding tuberculosis screening, measles and mumps (MMR), seasonal flu, hepatitis B, and other immunization requirements.
Minimum Requirements
  • Two years of general clerical experience. One year of which included typing, word processing, or other experience generating documents; OR
  • An associate degree in Office Occupations or Office Technology; OR
  • Graduation from a private school of business with a Certificate in Office Occupations or Office Technology AND one year of general clerical experience.

    College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis.

    Preferred Qualifications
  • Three years' experience working in a high-volume medical organization.
  • Experience working in a physical therapy department, including multiple disciplines.
  • Experience working with non-English speaking patients.
  • Experience completing insurance eligibility checks and pre-authorizations.
