Job Description

Summary:

The Division of Finance and Administration seeks a dynamic, service-oriented professional to manage and execute administrative functions to support the division. Using considerable judgement, tact, confidentiality, creativity and initiative, this team member supports the Division in achieving its strategic priorities by proactively resolving operational and administrative issues. Described as highly organized, skilled in interacting with a variety of units across the organization, and an inclusive professional, this person will represent the Division both internally and externally while working closely with the unit’s senior leaders.

Primary Duties:
  • Anticipates and performs a variety of administrative functions using discretion, confidentiality, and sensitivity for the Vice Chancellor for Finance and Administration as well as the Executive Director for Human Resources.
  • Schedules and organizes appointments, meetings, transportation/travel, and other events.
  • Drafts and edits outgoing correspondence of the Vice Chancellor, including letters/memoranda, reports, website edits and other materials, which at times will involve collecting and analyzing information such as applicable policies, procedures, etc.
  • Fosters a professional, collaborative, and inclusive workplace.
  • Acts as a liaison between Finance and Administration and other units at the University, including the University of Missouri System, related to scheduling of meetings, events, and other commitments, status of information requests, and other designated administrative support projects.
  • Conserves the Vice Chancellor and Executive Directors’ time by screening, reviewing, and routing correspondence, telephone calls, and visitors, for the nature of the business and urgency.
  • Hires, supervises, and provides work direction to student workers supporting Finance and Administration.
  • Maintains professional and technical knowledge by participating in professional development workshops, reviewing professional publications/media, and establishing a professional network.
  • Performs related duties as assigned.

Monday – Friday, 8 – 5 pm, Onsite

Salary

Pay commensurate with education and experience.
Hiring Range: $17.43 - $24.82 Hourly
Grade: GGS-8
University Title: Executive Assistant

Minimum Qualifications

Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary

Preferred Qualifications
  • Demonstrated initiative, sound judgement, discretion, service-orientation, and confidentiality
  • Ability to proactively anticipate situations and make appropriate judgements and decisions
  • Work experience in a university or other post-secondary education institution
  • Demonstrated commitment to diversity, equity, and inclusion
  • Experience with Microsoft Office (including Word, Excel, Outlook, Visio and Publisher), Zoom, Cascade Web Design Software and PeopleSoft
  • Experience in critically reviewing and analyzing source data/information
  • Professional and collaborative demeanor
  • Oral and written proficiency in the English language, including in spelling, grammar, and punctuation
