Overview

The Government Affairs Administrative Associate serves as the key management support for the Office of Government Affairs, including matters relating to budget, office organization and filing of reports, while also performing key functions relating to the Office’s advocacy responsibilities, such as scheduling and the preparation of background materials. The position reports to the Assistant Vice President of Government Affairs, with significant reporting also to the Director of Government Affairs.

This position is based in Washington, DC.



Responsibilities

  • Draft, send and track invitations to Member of Congress and Congressional staff for Princeton events and meetings
  • Assist with preparation of lobby days and other events on Capitol Hill, including preparation of background materials
  • Monitor Congressional hearings and coalition meetings and prepare summaries
  • Assist with preparation of lobbying disclosure reports
  • Schedule travel arrangements and prepare Concur travel and other expense report submissions
  • Prepare and maintain office budget, including submitting of invoices and expenses
  • Interface with campus representatives to schedule meetings; reserve campus and DC space; arrange for catering orders and other meeting needs
  • Order and maintain supplies and publications
  • Responsible for coordination of computer needs, including ordering of new equipment and coordinating requests for computer services to OIT
  • Greet visitors and answer phones for general office
  • Send information regarding Princeton developments to Congressional staff
  • Proofread documents; prepare power points, databases and other materials
  • Maintain up-to-date lists of Princeton alumni in Congress and Executive branch
  • Assist Office of Finance with tax documents
  • Coordinate with Rutgers on office issues



Qualifications

Bachelor’s degree and five years of experience

Collaborative approach, performs routine administrative duties proactively and has demonstrated ability to respond to urgent situations on an ad hoc basis

Ability to use Microsoft Office products, B GOV and Politico and Leadership Directories.

High level of organizational skills and attention to detail

Strong writing and communication skills

Basic understanding of Capitol Hill preferred
