Administrative Specialist for Student Success

Academic Affairs seeks an Administrative Specialist to provide primary administrative support for the Center for Academic Success and Exploration (CASE) and programs directly linked to student success and support. Duties include, but are not limited to, monitoring CASE budgets, email, and phone calls; overseeing student workers, including assisting the tutor coordinator as needed; and managing CASE calendars, office supplies, and activities in the Student Success Center (Jordan Hall 109 suite). Additional responsibilities include administrative support for the Honors Program and Undergraduate Research and Creative Activities. The candidate will have and demonstrated excellent oral and written communication, organizational and planning skills, budget management skills, and will display the ability to work on a variety of projects in a timely and effective manner. A strong work ethic and the ability to maintain confidentiality are essential.

Responsibilities
  • Provide primary administrative support for the CASE office (purchasing, RFPs, budget reconciliation, etc.)
  • Assist CASE staff with advisee management, communication, and scheduling
  • Support success coaches and assist with management of tutoring services
  • Provide support for new student registration
  • Assist the Honors Program with regards to budget and event management, thesis processing, and associated activities
  • Aid in the planning and execution of the Undergraduate Research Conference, Butler Summer Institute, and similar events associated with undergraduate research and creative activities
Qualifications
  • Bachelor’s degree preferred, high school diploma or GED required
  • 3-5 years of office-related administrative experience, preferably in higher education
  • Proficiency with Microsoft Office suite and familiarity with PeopleSoft, Canvas, Zoom, Panopto; willingness to learn new technologies and software as needed
  • Strong interpersonal and communication skills with an ability to handle communication in a time-sensitive and accurate manner
  • Strong organizational and planning skills with an ability to prioritize and manage multiple projects simultaneously on an annual basis and when assigned
  • Capacity to handle detail-oriented assignments independently and with accuracy
  • Experience with budget management preferred
  • Ability to maintain confidentiality at all times
  • Strong work ethic and commitment to professionalism
