Job Description:

Basic Function and Responsibility:

In consultation with the Coordinator, Testing Center, the Assistant Coordinator supports the organization and facilitation of the Testing Center operations. The Assistant Coordinator is responsible for coordination, implementation and supervision of the administration of group college placement testing. The Assistant Coordinator helps to support the work of the Testing Center by providing coverage at both campuses, proctoring a variety of tests and supporting operational efforts of the Coordinator.

Characteristic Duties and Responsibilities:
  • Support the work of the Coordinator in ensuring testing operations are in alignment with institutional priorities and national best practices and guidelines.
  • Provide leadership in organizing group placement testing opportunities. This organization includes recruitment, hiring, training and supervision of testing staff and seasonal proctor hires.
  • Assist Coordinator in ensuring the delivery of effective daily operations and programmatic efforts. Schedule and publicize services and communicate program policies and procedures to campus community.
  • Administer and proctor tests, ensure security of tests, and maintain an optimal testing environment. Input group placement test scores to help facilitate student enrollment process.
  • In conjunction with campus partners, assist area high schools with training and site set up information for off-site placement testing.
  • Work in consultation with Coordinator to plan, develop and implement training opportunities for employees including, but not limited to, on-going testing staff training and seasonal group proctor training.
  • Provide excellent customer service to students and visitors seeking information. Refer students who need enrollment support, advising, or other support services to appropriate departments.
  • Assist in development, implementation and maintenance of standard operating procedures for all areas of the Testing Center.
  • Assist in development and utilization of data-driven practices to continuously assess effectiveness of testing services. As directed, prepare, analyze data, and write institutional reports and assist in collection and analysis of student data.
  • In consultation with Coordinator, facilitate communication and testing protocols with various testing vendors.
  • In consultation with Coordinator, monitor budget, maintain inventory, and recommend purchase of testing resources.
  • Participate in Student Success leadership team meetings and area initiatives.
  • Participate as a member of various institutional committees, specifically committees related to testing, academic support, new student enrollment, and persistence.
  • Perform other job related duties as assigned.

Requirements:

Qualifications and Working Conditions:
  • Associate degree required, bachelor degree preferred.
  • Experience proctoring tests. Familiarity with diagnostic testing tools that support college course placement assessments, like that of ALEKS and Accuplacer, is preferred.
  • Experience in office or clerical setting required. Experience with student support programs and services, particularly in a college setting preferred.
  • A high level of interpersonal and communication skills are required. Must be able to explain policies and communicate with others in situations requiring sensitivity and tact.
  • Technology skills and computer competence, including MS office suite, and database programs are required.
  • Exceptional organizational and time management skills. Demonstrated ability to plan, coordinate, prioritize, and effectively execute multiple initiatives, programs, and events and meet established deadlines.
  • Ability to analyze situations, identify solutions, and present recommendations.
  • Ability to interact professionally and tactfully with people of different levels of education, cultural backgrounds, and life experiences, and to exhibit an adequate level of respect to fellow employees and the College community at large.
  • Ability to travel and work flexible hours at both the Skokie and Des Plaines campuses including some evening hours consistent with student need.
Physical Demands:

Light lifting up to 10 lbs and light carrying up to 10 lbs. Ability to reach above shoulder. Periods of time spent sitting, standing, walking, kneeling, bending and stooping. Mobility to move from building to building on-Campus and to visit off-Campus entities. Work is performed in a general office environment and is sedentary in nature. Little or no exposure to adverse working conditions.

Supervision Received:

General supervision is received from the Coordinator, Testing Center.

Supervision Exercised:

General supervision is exercised over seasonal proctor hires, and testing staff in consultation with the Coordinator.

HOURS: Monday - Friday - 8:15 am - 5:00 pm

SALARY: $47,712

Based on the needs of the college and with Administrator approval, some positions at the college may have remote or hybrid schedule options available. Please note, that during the 65 working day probationary period, employees are required to report to campus.
