Position Summary

The Case Manager for the Accelerated Training Centers, Advanced Manufacturing Programming will provide proactive and tailored student support services related to the areas of academic preparedness, admissions, recruitment, registration, and retention for students participating in Pharmaceutical Manufacturing training, under the college’s emerging biotechnology programming. The Case Manager works closely with the Project Manager, Student Services Supervisor, instructors, and corporate clients to coordinate additional services such as tutoring/additional instruction, childcare options, travel options, ESL referrals, and referrals to other social services to ensure that students completing the training program are able to persist in the program to graduation.

The Case Manager will also be responsible for tracking student’s career readiness portfolio and providing counseling, support and referrals to career services supports, both internal to the college and external, with the goal of assisting graduates of the program with a success transition to employment in GMP manufacturing (pharmaceuticals, food, drinks, personal care/cosmetics.

Manages all day-to-day needs of students in training programs and is accountable for maintaining yield, placement, and retention goals for students participating in biotech accelerated training programs at the college.

ESSENTIAL JOB FUNCTIONS

Student Advising and Case Management

Understands and remains abreast of policies and procedures for accelerated training programs, recognizing that the eligibility criteria, educational opportunities, and student population will vary significantly in each program.

Provides tailored and pro-active holistic support aligned to workforce development training programs. Advises participating students on program eligibility, academic program, prerequisites, registration, program progress and interview eligibility via in person, phone, e-mail or other delivery formats as needed. Assists prospective and current students.

Supports students throughout the student life cycle with the development of academic success skills. Develops and clarifies education goals by conducting interviews and analyzing student needs.

Provides holistic and ongoing case management to ensure students are successful in programming. Evaluates success in program placements.

Serves as a liaison and advocate for training program students to partner offices across campus including placement testing, advising, student advocacy, and career services. Serves as a liaison and advocate for training program students to external organizations for the purpose of assisting students with overcoming systemic barriers to employment resulting from needs including but not limited to transportation restrictions, childcare needs, food insecurity, or English language fluency.

Serves as a resource to program instructors for program administration and partners with instructors and program administration to ensure academic success for program participants.

Assists students experiencing academic difficulty to develop a plan of action to promote academic success and conducts appropriate academic counseling intervention.

Recruitment and Events

Supports program applicants and guides applicants through the enrollment processes. Explains the admission, enrollment, placement testing, and registration processes.

Works in close partnership with the program outreach coordinator to provide a seamless hand-off for students at the point of application to the program.

Assists in the planning, implementation and staffing of recruitment and student success events. Helps identify, plan, schedule and implement learning activities appropriate to student needs, including but not limited to onboarding and orientation activities.

Maintains records of progress, attendance, and scores for student.

Data and Reporting

Responsible for using technology and systems to track and report program results with ongoing data management to document student progress.

Coordinates development of case management and tracking of cohort students for program completion. Completes and maintains intake forms, electronic case management tools, release of information forms, case notes, and other confidential student records to document services provided.

Maintains confidentiality of student records and other sensitive information. Keeps accurate records. Completes and maintains required documentation including enrollment material, evaluation, test results, attendance and status reports.

Completes project reports. Identifies best practices from peer institutions, industry partners and communities of interest that support the overall project scope and quality. Prepares and presents status reports to all levels of management.

Usual Physical Requirements

While performing the duties of this job, the employee regularly exhibits digital dexterity when entering data into computer. The employee frequently sits for extended periods of time and occasionally stands and walks. Employee converses verbally with others in person and by telephone. Vision demands include close, relatively detailed vision when focusing on a computer screen. Employee occasionally lifts items up to 10 pounds.

Working Conditions

Assigned working hours will include evening hours 1-2 times per week. Normal office working conditions.

Knowledge, Skills and Abilities: Knowledge of: college student development; academic assessment and advising practices; college and career readiness; adult education theory; online and distance academic programs; FERPA; Federal Financial Aid regulations and documentation; federal immigration regulations; international document verification; cultural diversity; college and community resources; placement testing and college readiness requirements. Skill in: problem solving; maintaining documentation and records; verbal and written communications; maintaining good public relations; customer service; operating general office equipment; general typing; application of job software programs and applications and standard office practices and procedures; computer literacy with the ability to integrate computer technology in teaching and assessment, one-on-one and group college readiness instruction; creating and maintaining reports that track program results; verbal and written communication. Ability to: effectively work with persons of varying cultures and diversity; work independently demonstrating initiative; develop and maintain effective working relationships with associates, supervisors, job contacts and general public; utilize customer relationship manager (CRM) with a high degree of competency; create advanced pivot charts and attractive reports in Excel or other visualization software; utilize screen capture and video conferencing technology to conduct remote advising for students; demonstrate flexibility; exhibit a pleasant telephone manner; answer routine inquiries; maintain confidential and sensitive information; maintain accurate and complete work records; speak effectively to large groups.

Minimum Qualifications:

Associate's Degree. Three (3) years of experience in Higher Education Administration, Social Services, or working with adult learners. State Motor Vehicle Operator's License or demonstrable ability to gain access to work site(s).
