Position Summary

The Outreach Program Coordinator for the Accelerated Training Centers (ATCs) will coordinate targeted recruitment and outreach initiatives for the GMP Automation Accelerated Training, which falls under the larger umbrella of emerging biotechnology programming at Columbus State.

The Outreach Program Coordinator works closely with the Project Manager, Student Services Supervisor, and the Office of Talent Strategies team, and is responsible for the management of the recruitment pipeline and meeting enrollment goals for the GMP Automation Training Program. This position is responsible for engaging in timely, high-quality, proactive outreach to educate student inquiries and applicants. The Outreach Program Coordinator will support the planning and implementation of recruitment events on and off campus.

The Outreach Program coordinator will proactively research leads and develop and maintain contacts with community and civic organizations, high school and career tech teachers, counselors, and sports coaches for the purpose of promoting the GMP Automation Training Program to these organizations’ constituents/clients.

ESSENTIAL JOB FUNCTIONS

Student Recruitment and Program Outreach

Understands and remains abreast of the policies and procedures of the GMP Automation Training Program, recognizing that the eligibility criteria, educational opportunities, and student population will vary significantly from traditional college programs. Communicates enrollment processes to students and proactively monitors prospective students’ progress, and appropriately intervening to ensure the maximum yield of students.

Understands the full catalog of biotechnology programming at CSCC and appropriately directs students to the correct program to meet their educational and career goals.

Coordinates outreach to target populations including:
• Graduating high school or career tech students
• Veterans
• Adult learners such as career changers
• Members/clients of community/civic organizations
• Members/clients of social services organizations.
• K-12 administrators and faculty.

Provides information on programs of study and next steps for enrollment, including admission criteria, placement testing, advising, and registration. Remains current on transfer requirements and procedures of other institutions. Develops and clarifies educational goals by conducting interviews and analyzing student needs. Explains educational program options and assists students with developing a plan for degree and/or goal completion.

Provides timely, high-quality, and proactive outreach to educate student, inquiries, and applicants.

Community Outreach and Lead Development

Proactively researches local community, civic, and social services organizations and professional/trade groups to identify organizations serving members/clients/constituents who may be a good fit for the GMP Automation Training Program.

Actively develop contacts with relevant stakeholders at these organizations with the purpose of creating a referral pipeline, coordinating recruitment events, and promoting biotechnology programs at CSCC to organization members/clients/constituents.

Coordination of Communications

Coordinates the development of promotional materials for experiential learning programs.

Develops a comprehensive case management and communication strategy leveraging email, text, phone, and in-person meetings to promote conversion and enrollment of student leads.

Contributes to the development and execution of an overarching marketing plan to grow recruitment and engagement in Biotechnology programming at CSCC.

Event Coordination

Contributes to the development and execution of an events strategy for recruitment and outreach.

Recruitment and outreach events may take place on or off campus and include:

• Information Sessions
• High school /Career Tech Visits
• Visits to Social/Community/Civic Organizations
• Classroom Presentations
• Yield Events
• Career Fairs
• Career Exploration Events
• Employer Tours

Coordinate the planning of events from start to finish according to requirements, target audience and objectives. Delivers outreach events within scope, within budget and with high levels of quality.

Executes project work plan in consultation with project teams. Leverages and integrates technology and data to improve the efficiency of recruitment and outreach events.

Data and Reporting

Responsible for using technology and systems to track and report program results with ongoing data management to document student yield. Creates regular reports on the project efforts and enrollment goals.

Records and promotes notable activities, deliverables, and events through institutional communications, social media, and dissemination materials.

Maintains appropriate files, documents and tracks data regarding prospective students throughout the enrollment process. Actively manages the enrollment progress of interested students, keeps accurate records of all inbound and outbound communications using customer-relationship management (CRM) tools. Proactively responds to enrollment trends to ensure that enrollment goals are met.

Assists with data collection and data entry for program metrics and reporting. Completes and maintains intake forms, electronic case management tools, release of information forms, case notes, and other confidential student records to document services provided. Maintains confidentiality of student records and other sensitive information. Keeps accurate records. Completes and maintains required documentation including enrollment material, evaluation, test results, attendance and status reports.

Usual Physical Requirements

While performing the duties of this job, the employee regularly exhibits digital dexterity when entering data into computer. The employee frequently sits for extended periods of time and occasionally stands and walks. Employee converses verbally with others in person and by telephone. Vision demands include close, relatively detailed vision when focusing on a computer screen. Employee occasionally lifts items up to 10 pounds.

Working Conditions

This position will require regular local travel. Assigned working hours will include evening hours 1-2 times per week. Normal office working conditions.

Minimum Qualifications:

Associate's Degree with related focus such as Business, Marketing, or Communications. Experience working in sales and/or manufacturing. State Motor Vehicle Operator's License or demonstrable ability to gain access to work site(s).
