Job Summary

Under the newly minted division of University Marketing & Communications, the Office of Marketing Communications creates proactive, innovative, and comprehensive marketing, communications and branding strategies that highlight Drexel’s academic strengths and research, while emphasizing the value and potential of the experiential education model. The Office of Marketing Communications works closely with colleges, schools, academic and administrative staff throughout the University to create comprehensive marketing and communications strategies that serve the University’s overarching branding, recruitment and retention goals to meet or exceed the enrollment and revenue objectives. The Office of Marketing Communications defines, protects, and disseminates the Drexel University brand while clearly illustrating its unique value proposition.

The Marketing Project Manager will serve as the team lead responsible for maintaining and innovating the project management process within the media team — for both recruitment and brand marketing efforts initiated on behalf of the Division of University Marketing and Communications, as well as for colleges, schools, and other administrative units.

Working in tandem with the Associate Director, Paid Media, the Marketing Project Manager will help to achieve paid media project objectives by establishing scopes and timeframes and reporting on progress to key stakeholders. In addition, the Marketing Project Manager will maintain the media budget and will keep track of open purchase orders and invoices to uphold fiscal responsibility for the team.

The Marketing Project Manager will also be responsible for acting as a primary liaison with Drexel’s agencies-of-record and for overseeing all traffic and tracking of creative — both to and from — vendors for paid media, providing guidance on priority and q/a in transferring material.

The ideal candidate will have superlative oral and written communication skills, problem-solving abilities and will be able to dissect and report data to help further team success.

Essential Functions
  • Leads the exploration, evaluation, and planning of each project in collaboration with University Marketing & Communications staff, as well as with individual clients throughout the University
  • Manages day-to-day communications between the internal University stakeholders and agencies of record as a primary lead. Duties include but are not limited to scheduling and managing meetings, tracking project status, noting, and elevating successes and challenges, trafficking creative for all campaigns, and keeping track of POs for all campaigns
  • Establishes project scope by identifying key objectives, milestones & affiliated tasks, as well as overall lifecycle for each project. Assigns individual tasks to project lead in each area; coordinates with external teams and vendors to identify technical requirements and parameters; enters each project into project management system and tracks accordingly
  • Monitors project progress; tracks action items; reviews milestones and adjusts accordingly
  • The Marketing Project Coordinator has the autonomy to escalate issues to appropriate team leads to keep projects on-track to complete on-time
  • Budget tracking - including vendor accounting set-up, placing and tracking all purchase orders (POs) and invoices and reconciling open POs at the end of each fiscal year
  • Serves as point-of-contact for all internal Drexel clients for enacting and executing paid marketing campaigns
  • Responsible for owning and refining the paid media team service level agreements and for ideating new ways to refine processes and find efficiencies
  • Manages the execution of “special request” paid media initiatives from the president’s office
  • Responsible for the media team credit card, and for reconciling payments on the team’s behalf each month
  • Acts as team lead to coordinate requirements and tasks with all clients, and informs clients of potential changes in project plan when necessary
  • Creates and maintains comprehensive project documentation
  • Perform additional duties as assigned
Required Qualifications
  • Bachelor’s Degree or Equivalent
  • 2-3 years of relevant/position related experience
Preferred Qualifications
  • Experience with project management and project management system(s)
  • Ability to work in a fast-paced team environment on multiple projects and clients
  • Excellent oral and written communication skills
  • Experience with data analysis and reporting
  • Hybrid/ Flexible Work Arrangement
