Job Description

The W.A. Franke College of Buisness (FCB) is looking for an Operations Manager, that will supervise the operations of the college. This position will plan and implement procedures and policies, oversees staff, and monitors the progress of a wide range of situations for the college to maintain maximum efficiency. Serves as the primary point of contact on any operational matter directed to the college using judgment, discretion and confidentiality while maintaining the Dean's view on policies and issues.

Operations - 50%
  • Aids in the update and maintenance of university policies and procedures, as appropriate, to ensure office operations follow proper policy provisions and standards.
  • Gathers, investigates, researches and analyzes information and/or processes affecting University-wide, intradepartmental, or interdepartmental operations to adequately adjust internal operation processes and procedures.
  • Evaluates processes and workflows to identify inefficiencies and works with management to develop solutions.
  • Manages the college hiring process for faculty and staff by working with Human Resources and the Budget Office to meet all hiring guidelines.
  • Applies expert knowledge related to employee regulations, policies, and procedures.
  • Works closely with the FCB finance team and respective units to ensure salaries, payments, and adjustments related to FCB personnel are accurate.
  • Leverages the Faculty Activity and Achievement Reporting (FAAR) system to manage faculty processes for approximately seventy full time faculty, including assisting in annual evaluations, filing sabbatical and promotion/tenure applications, evaluating retention and assisting in annual updates to faculty statements of expectations.
  • Executes and manages the business division colleges course schedule and related processes.
  • Evaluates and resolves typical administrative/operational functions to ensure effectiveness and compliance with university policies and regulations.

Administrative - 25%
  • Supervises Administrative Service Assistant and/or Program/Events Coordinator.
  • Provides general office management including serving as back up for receptionist/front desk area of dean's office as needed.
  • Serves as the building manager for the W. A. Franke College of Business for general maintenance and management, to help in identifying health and safety issues.
  • Serves as the college HR liaison - provide guidance and communication for personnel recruitment, faculty hiring, termination, staff appraisal process, onboarding, budgeting and other relevant HR issues.
  • Manages the hiring process; requests approval on behalf of the dean for hires; works with NAU budget office on position numbers; preparing offer letters; onboarding of new faculty and staff.
  • Interprets and explains policies and procedures to faculty and staff.
  • Organizes and maintains employment records for all faculty and staff.
  • Serves as staff support for the college's Promotion & Tenure/Annual Review Committee.
  • Prepares reports and surveys related to Association to Advance Collegiate Schools of Business data.
  • Maintains equipment inventories, including computers, copiers, and any other vital products to ensure continuity in business operations.
  • Provides support with travel requests.

Communication - 20%
  • Serves as a point of contact on any matter directed to the office by University and/or community constituents; independently researches and prioritizes incoming issues and determines appropriate course of action, referral, and/or response.
  • Maintains broad knowledge of all on-going projects, requiring ability to tactfully communicate with personnel regarding the dean's wishes and timelines.
  • Assists dean and administrative team with long-term and annual workforce planning efforts.
  • May negotiate and administer contracts and/or agreements.
  • Serves as back up staff support to the National Advisory Board - communication with high level constituents, make all meeting arrangements.
  • Participates in various committees and professional organizations.

Other - 5%
  • Other duties as assigned.


Minimum Qualifications

  • Bachelor's degree in related field.
  • 1-2 years of management or supervisory experience.
  • 2-4 years of relevant experience.
  • A combination of related education, experience, and training may be used as an equivalent ot the above Minimum Requirements.


Preferred Qualifications

  • Experience working in higher education.

Background Information

This position has been identified as a safety/security sensitive position. Therefore, per AZ Revised Statute, Northern Arizona University requires satisfactory results for the following: a criminal background investigation, employment history investigation, degree verification (in some cases) and fingerprinting. If you are applying for a job that requires a CDL, you will be required to register with the Federal Motor Carrier Safety Administration Drug & Alcohol Clearinghouse and adhere to the clearinghouse requirements. Additionally, as an employer in the state of Arizona, NAU is required to participate in the federal E-Verify program that assists employers with verifying new employees' right to work in the United States. Finally, each year Northern Arizona University releases an Annual Security Report. The report is a result of a federal law known as the Clery Act. The report includes Clery reportable crime statistics for the three most recent completed calendar years and discloses procedures, practices and programs NAU uses to keep students and employees safe including how to report crimes or other emergencies occurring on campus. In addition, the Fire Safety Report is combined with the Annual Security Report for the NAU Flagstaff Mountain Campus as this campus has on-campus student housing. This report discloses fire safety policies and procedures related to on-campus student housing and statistics for fires that occurred in those facilities. Salary

Salary range begins at $60,000. Annual salary commensurate with candidate's qualifications and related experience.

FLSA Status

This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA) and therefore will not earn overtime or compensatory time for additional time worked.

Benefits

This is a Service Professional (SPF) position. NAU offers an excellent benefit package including generous health, dental and vision insurance; participation in the Arizona State Retirement System or the Optional Retirement Program; 22 days of vacation and 10 holidays per year; and tuition reduction for employees and qualified dependents. More information on benefits at NAU is available on the Human Resources benefits website. NAU is a tobacco and smoke-free campus. Service Professionals are hired on a contract basis, renewable each 6 months according to terms of the Conditions of Professional Service. Employees offered a position will be eligible for state health plans (including NAU's BCBS Plan). New employees are eligible for benefits on the first day of the pay period following their enrollment, after their employment date. Employees will have 31 days from their start date to enroll in benefits. If a new employee chooses the ASRS retirement option, participation in the Arizona State Retirement System, and the long-term disability coverage that accompanies it, will begin on the first of the pay period following 6 months after the new employee's start date. New employees who choose to participate in the Optional Retirement Plan (ORP), which is an alternative to the ASRS plan for faculty and other appointed staff, will begin to participate on the first day of employment.
