Part-Time Accounting Assistant (Accounts Payable)



Job Description:

The Accounting Assistant reports to the Assistant Controller – Accounts Payable and Payroll and is responsible for processing expense reports submitted by employees for credit card transactions or reimbursement as well as supplier invoices for payment. Assists with customer contact at the counter and transaction entry assistance to accounts receivable and/or cash receipts. Performs other related duties as assigned.

Essential and Related Functions:
  • Processes expense reports for credit card transactions in Workday. Reviews the expense reports for proper receipt documentation and evidence of business purpose and compliance with University expense policies. This may include expense reports for reimbursements as well during times of high Accounts Payable volume.

  • Assists with following up on delinquent credit card transaction reporting.

  • Performs designated procedures to conduct audits of credit card transactions on a periodic basis to gather evidence of compliance with University credit card and expense policies.

  • Processes supplier invoice requests in Workday during times of high Accounts Payable volume.

  • Assists with the physical inventory of fixed assets on a bi-annual basis by sending departments a list of assets assigned to their department and updating the fixed asset system with changes listed.

  • Processes cash receipts and accounts receivable invoices as needed during times of high volume.

  • Performs customer service duties at the office counter as needed.

  • Additional related duties as assigned.



Minimum Qualifications: High school diploma or equivalent required with a minimum of one year’s work experience in an administrative support capacity. Must have strong attention to detail and be able to multitask. Strong interpersonal and communication skills with the ability to provide customer service courteously and work effectively with diverse groups of people are essential. Must be proficient in Microsoft Word and Excel. Experience in the use of a centralized accounting system is preferred.

Work Schedule: This is a part-time benefits eligible position working approximately 20 hours weekly during business hours.

Minimum Pay: $17.75 Pay commensurate with experience.

Physical Requirements:
  • Fingering: Picking, pinching, typing or otherwise working, primarily with fingers rather than with whole hand or arm as in handling.

  • Grasping: Applying pressure to an object with the fingers and palm.

  • Repetitive motions: Making substantial movements (motions) of the wrists, hands, and/or fingers.

Working Conditions: The worker is not substantially exposed to adverse environmental conditions.

Types of Work: Sedentary work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
