Position Summary:

The Assistant Director for Internships and Experiential Programs will manage specific initiatives, resources, and events within VCU Career Services (VCS) that promote work-based learning, career development, and intentional connections between students and employers including internship funding, micro-internships, shadowing and mentorship experiences with alumni and professionals, and student site visits to professional settings as part of the Employer and Experiential Development (EED) team.

The Assistant Director will serve as primary administrator of the VCU Internship Funding Program, overseeing a growing, collaborative initiative focused on closing equity gaps and directly supporting student career exploration, skill development, professional networking, and positive post-graduation outcomes. As both this initiative and the VCU Career Services team grow, this individual will supervise undergraduate and graduate student employees and professional staff in relevant focus areas. This position reports to the Associate Director for Employer and Experiential Development.

Members of the VCU Career Services team regularly engage in professional development, including in-house and external training and conference opportunities, to make sure we are able to best serve students and alumni, to stay current with industry standards and changes, to revise programs and services to reflect trends, and to increase our office’s visibility, both at VCU and on a broader scale.

Core Responsibilities:

Program Development and Delivery (45%):
  • Serve as the administrator of the VCU Internship Funding Program by communicating and engaging regularly with office, campus partners, and external stakeholders to promote the program, market to student applicants, confirm experiences with employer supervisors, facilitate the application and selection process, work with SEMSS Finance, Student Accounting, and VCU Procurement to distribute funds, help collect and report out on pre- and post-experience data, and engage with Development & Alumni Relations (DAR) and University Relations to promote the program benefits to donors and share student and employer success stories with the broader VCU community.
  • Lead, organize, and implement the annual Internship & Experiential Opportunities Fair(s). Collaborate and communicate with specific team members, campus partners, employers, and alumni to ensure successful event design, marketing, staffing, delivery, and evaluation.
  • Develop and implement experiential development programs and services to facilitate student learning through employer partnerships and campus resources.
  • Strategically lead growth of the Career Treks employer site visit program in coordination with other EED Team members and internal Industry Programming Groups (IPG).
  • Work with key stakeholders to create career/industry and employment-specific events and workshops that facilitate student learning, networking and mentorship, and skill development.
  • Participate in campus events involving employers, alumni, and families to engage those stakeholders in our services and programs.
  • Support other career fair planning and day-of operations as a member of the Employer and Experiential Development Team.
  • Collaborate with VCS staff, student employees, and other campus units on projects and programs that facilitate student learning and skill development.
  • Participate in relevant professional associations at the state, regional, and/or national level to influence internship and experiential learning-related policies, deliver presentations, and share the work of VCU Career Services in this important realm, inspiring other institutions and employers to engage in similar work.
Relationship Development (20%):
  • Coordinate and implement outreach to new and prospective employer partners who may have an interest in recruiting and retaining VCU students for internships and other short-term career development experiences, like shadowing and micro-internships.
  • Steward existing employers through the recruitment lifecycle including in person, electronic, and phone communication in alignment with campus recruiting guidelines, and respond to external party inquiries regarding experiential and employment opportunities that might be a fit for VCU students.
  • Orient employer partners to VCU, VCU Career Services, and our Handshake system so they can make informed decisions about engagement and be prepared to effectively post and follow up on experiential and employment opportunities, actively promoting on-campus and virtual recruitment of students.
  • Assist employers in building their presence (brand) on campus, advising them on recruitment strategies and setting expectations about number of student applicants per job posting(s), event participation and student involvement; ensure adequate and creative marketing of employer postings and events.
  • Work with employer partners to strengthen recruitment pipelines and identify additional recruitment opportunities, checking in regularly to ensure high-quality services and continued campus engagement.
  • In partnership with other members of the Employer and Experiential Development team and the Office of Financial Aid and Scholarships, support on- and off-campus employers in the recruitment and selection of students as part of the Federal Work-Study program.
  • Communicate employer feedback about the career and internship readiness of VCU students and industry recruiting trends to VCU Career Services.
  • Participate in various campus events involving prospective students, alumni, and families to engage those stakeholders in our services and programs. Participate in departmental, division, and/or university committees to represent VCS as assigned.
  • Serve on relevant committees and industry program groups within or representing VCU Career Services, SEMSS, and VCU at large.
Leadership and Strategic Initiatives (25%):
  • Provide leadership for, coordination of, or assistance with special programs and projects for VCU Career Services.
  • Contribute to the monthly, quarterly, and annual assessment and analytics projects related to the metrics tied to the unit strategic plan and additional data needs of the Associate Director and Director.
  • Serve on cross-functional teams to promote the vision and direction of VCU Career Services; contribute to the strategic planning in order to evolve career related services and programs.
  • Supervise the Job and Location Coordinator professional staff role, undergraduate and/or graduate students, to support program and team expansion.
  • Implement, review, and enforce, in conjunction with the Employer and Experiential Development Team, employer recruitment policies.
  • Adhere to principle of professional conduct and ethics as outlined by the National Association of Colleges and Employers (NACE).
  • Contribute actively to the development, adaptation, and implementation of the VCU Career Services Strategic Plan through collaboration and project work.
  • Perform other duties to support team operations and strategic plan, as assigned.
Technology Management (10%):
  • Manage communications and check-ins with students in the VCU Internship Funding Program through Experiences in Handshake.
  • Update and manage, in collaboration with the Office of Financial Aid and Scholarships, the Scholarship Hub application portal for the VCU Internship Funding Program.
  • Enter data into University systems and databases as needed and ensure consistent data sharing with campus departments, including entry of notes for each employer engagement point following established conventions to allow for tracking/reporting.
  • Serve as back-up for new employer approvals, internship and experiential posting approvals in Handshake, as needed.
Minimum Hiring Standards:
  • Bachelor’s degree, with emphasis on student affairs, higher education, business, human resources, social sciences, or related field.
  • Two years of experience in higher education, recruitment, or related field.
  • Ability to develop positive relationships, partnerships, and alliances with companies, nonprofit and government organizations, and/or other external stakeholders.
  • Ability to collaborate cross-functionally in the office environment and to interface with students, alumni, faculty, donors, and university administrators.
  • Exceptional communication skills (written, oral, presentation).
  • Ability to assess and report on departmental metrics and program outcomes and respond to data inquiries from campus partners.
  • Ability to organize and effectively manage multiple priorities, programs, and projects.
  • Ability to use relevant database systems (e.g. Handshake, Navigate, Microsoft Excel, Google Sheets).
  • Demonstrated experience working in and fostering a diverse faculty, staff, and student environment or commitment to do so as a staff member at VCU.
Preferred Qualifications:
  • Master’s degree in progress or completed.
  • Experience working in a higher education career services office. Internship or Graduate Assistant positions can be considered.
  • Experience using database systems, e.g. Handshake, GradLeaders,CSO, Symplicity, SalesForce, PeopleSoft, etc.
  • Experience with program budget management and fiscal support.
  • Awareness of trends within higher education, career services, employment marketplace and economy.
  • Experience supervising part-time, full-time, or student staff members.
  • Program assessment and evaluation experience.
Other Position Details: This position is eligible for a hybrid work arrangement with up to 40% weekly telework, but this standard could change in the future depending on Strategic Enrollment Management and Student Success (SEMSS) Division priorities and campus policy.
