Event Logistics Coordinator


Description
Under direction of the Executive Assistant to the Vice President, provides management of event logistics on campus, with an emphasis on quality, safety, economy, and customer service. This individual has a wide range of tasks that require interface with nearly all constituents of the MIIS community, including faculty, staff, and students, as well as with outside organizations. The incumbent must ensure that all areas of the department operate in an efficient and cost-effective manner, and are in compliance with state and federal regulations. This is a full-time (37.5 hours per week) staff position.


Requirements
Coordinates set-up, clean-up, and other logistics for all Institute special events.
Reviews room reservation system to identify events where logistics might be required and assures that Event Logistics Request Forms are submitted.

Performs walk-throughs in advance of events and provides guidance to event contacts on optimal set-up.
Maintains schedule of all events requiring logistical support.

Maintains all event-related items (tables, chairs, linens, area heaters, etc.) in a clean, serviceable condition.
Ensures that the Institute maintains flags of the nations represented at the Institute and/or alumni nations and are posted on the various buildings at the Institute. Maintains inventory of flags and evaluates condition of flags for replacement.

Provides logistical support to other Campus Services staff as required.

Provides additional special logistics needs and other duties as assigned, as identified by the Vice President's Office.


Knowledge, Skills and Abilities
At least 3 years in a facilities management role, or equivalent experience, is desired. Demonstrated broad base of experience such as described above is required.
Basic computer skills and ability to effectively use computerized information systems. Knowledge of Microsoft Excel is helpful.
Excellent human relations skills.
General administration, office management, and bookkeeping skills. Ability to pinpoint areas of needed improvement and research suppliers/contractors.
Good organizational, planning, and logistical skills are required.
Basic knowledge of safety.
Willingness and ability to adapt to changing technologies and systems.
Willingness and ability to comply with Institute policies, procedures, and mandates.


Education
A combination of education and experience which would demonstrate administrative and management skills relevant to this position. Formal education could be two to four years of college. Bachelor's degree and/or experience with supplier management, facilities, and working in an educational environment is preferred.

Physical Demands

Position requires moderate physical exertion. Essential job functions require ability to sit for extended periods of time, walk, bend, climb, push/pull, lift and carry up to 40 pounds frequently.
