Carnegie Mellon University’s department of Information Networking Institute (INI) is searching for a Senior Administrative Coordinator. This is an excellent opportunity that provides substantial growth and upward mobility within the department. You will report to the Manager of the Director’s Office and Administration and work closely with the Business Operations team to provide advanced administrative support for the INI Director’s Office and faculty as well as research administration and general operations.

This role will serve as the backup for the INI Manager of the Director’s Office and Administration in support of the Director of INI, and assist with faculty searches, meetings, review and other special projects.

The incumbent will work closely with the INI Business Operations team on INI research administration activities including sponsored awards pre- and post-award processes, budgeting and forecasting, monitoring financial accounts and transactions, and making vital corrections as well as handling labor and effort tracking for faculty and graduate students and other related tasks.

Core responsibilities will include:

INI Director’s Office Support:
  • Serves as backup for the INI Manager of the Director’s Office and Administration in support of the Director of INI and assists with faculty searches and the faculty reappointment and promotion process

Faculty support:
  • Provides general administrative assistance including coordinating all aspects of faculty travel, process procurement card verifications and expense reimbursements, planning and scheduling meetings and events, directly responding to requests for information and processing documents, forms, and reports, which may be confidential in nature, as well as assisting with student worker hiring

Research support:
  • Supports the INI Business Operations team with the pre- and post-award process for INI faculty

General Administrative Support:
  • Performs research to respond to requests and summarizes findings, prepares and processes information and forms

  • Produces, composes and edits correspondence, manuscripts, spreadsheets, presentations, minutes and other materials

  • Performs related work and special projects as assigned

Qualifications:

High School/GED required

At least five years of administrative support, office management, and data entry experience

Higher education experience preferred
