Position Details
The Office of Academic Advancement, within the Office of Student Affairs, is responsible for a comprehensive program of academic advising and class management in the context of a residential liberal arts environment. This includes helping students develop educational goals and complete their graduation requirements; working with faculty to support student success in the classroom; facilitating access to academic and non-academic support services; and supporting student transitions from high school through the undergraduate years to life post-Wesleyan.

Reporting to the Dean for Academic Advancement this position provides front-line support for the Academic Advancement Office, including Student Academic Resources and Accessibility Services and works with students, faculty, staff, and parents.

Responsibilities include:
  • Provide administrative support for the Dean of Academic Advancement and the Academic Advancement Office.
  • Undertakes annual projects and provides support and assistance for class management needs, including Academic Review, the petition process, and University Major.
  • Performs a variety of administrative duties including, correspondence and mailings, maintaining files in Docfinity, organizing meetings, and managing office correspondence and procedures, including pre-major advisor reassignments.
  • Manage general inquiries via email, phone, and in-person.
  • Assists students, families and faculty with questions related to academic standing and University processes, including permission to transfer credits.
  • Prepares academic records for review as requested by students.
  • Coordinates information and provides administrative support for the new student/transfer orientation and major open houses throughout the year.
  • Coordinating meetings and events, including room reservations, set up and ordering food. Contributes to a team-based system of support for the Academic Advancement Office.
  • Other duties as assigned.

This position is a 1.0 FTE in the secretarial/clerical bargaining unit located on campus in Middletown Connecticut.
The work schedule for this position is 37.5 hours per week for 52 weeks per year.

Minimum Qualifications
Associate degree and two years related experience or an equivalent combination of education, training, and work experience.

Ability to set priorities, establish efficient procedures, multi-task, manage detailed work, and follow through with a minimum of supervision in a calm and effective manner.

Excellent communication skills.

Excellent customer service skills.

Intermediate knowledge of Microsoft Suite, including Word (mail merges, creating, editing, and formatting tables), Excel and Outlook (emails, calendars) and Google documents.

Ability and interest in learning new software programs (Ex: OneDrive, SharePoint.)

Demonstrated commitment to work within a diverse environment and interact openly with individuals of different backgrounds.
Preferred Qualifications
Previous experience working in an academic environment.
