Endowment Assistant- Part Time

Part- time approx. 20 hours per week. Assist with the Academy’s endowment and related fund accounting and administration.

Job Responsibilities
  • Assists the endowment and fund accountant with spending for 1,400+ endowed funds
  • Performs general accounting of restricted funds, reconciliations and reporting
  • Ensures that current restricted funds, plant funds, and endowed funds are spent in accordance with their restrictions
  • Maintains pledge reconciliation, pledge payments, and new pledges and monitors late or missing pledge payments to follow up with major gift officers
  • Coordinates meetings with institutional advancement (fundraising) to review pledges
  • Prepares annual discounting and reserve entries for pledges
  • Reviews backup for gifts to ensure gifts were placed into proper funds in accordance with the donor’s restrictions
  • Reconciles reports prepared by institutional advancement to the general ledger and prepares cash and GAAP revenue analysis on a monthly basis
  • Supports budget managers in their use of restricted and operating funds
  • Prepares various reconciliations related to endowed funds, current restricted funds, plant funds and gift revenue
  • Attends meetings for student life and student funding committee to assist with club funding
  • Serves as a resource for the student activities office in relation to club funding and tracking
  • Manages reporting and tracking needs for clubs, advisors and dorms
  • Assists with split interest agreements including quarterly payments to annuitants
  • Maintains record of new split interest agreements, deceased beneficiaries, and forms to be completed between finance and planned giving
  • Performs fund audits to ensure sufficient governing documentation is scanned and shared with finance
  • Assists with preparation of financial surveys
  • Assists with filing and converting paper documents to digital format
  • Understands and keeps current with generally accepted accounting principles
  • Helps with preparation and maintenance of accounting procedure documentation
  • Special projects and ad-hoc analysis as necessary
  • Performs other duties as assigned.

Position Requirements

Education
  • Bachelor’s degree in Finance or Accounting preferred
Experience
  • 2+ years’ accounting experience.
  • Experience working with adolescents in an educational setting preferred.
Additional Requirements
  1. Successfully complete a criminal background check (reviewed every 5 years).
