The Opportunity:

The Department of Electrical Engineering and Computer Science at Embry-Riddle Aeronautical University in Daytona Beach, Florida invites applications for a full-time Administrative Assistant position. The position provides assistance to the department chair, associate chair, program coordinators, and faculty with operational, academic, financial, and communication administration. Prior experience working with university students, faculty, staff, and administration is strongly desired.

Responsibilities include:
  • Operational administrative: manage and coordinate department chair schedule; schedule and arrange meetings for chair and other faculty; reserve rooms; support department activities (graduation, orientation, open houses); assist department guests, advisory board, and ABET evaluators visits; assist with organizing departmental events; assist chair, faculty, students, and departmental guests with travel arrangements and expense reporting; maintain files and records, process purchases, check requests, and reimbursements; assist with selection and procurement of merchandise and gifts; assist faculty with office needs; maintain department information boards; oversee student office assistants.
  • Academic administrative: assist chair, associate chair, and program coordinators with academic administration; assist faculty with book orders and class materials; securely collect and distribute materials for evaluation, promotion, and tenure; schedule exit interviews; assist with data collection and analysis for program and course assessment and faculty evaluation; maintain course, book, and grade records; prepare PhD and GA contracts.
  • Fiscal/financial: administration of multiple budgets, including procurement and receiving of equipment and supplies; transfer of funds; monitoring budget needs, expenses, and balances; preparation of budget reports.
  • Communication: coordinate with the College of Engineering and IT regarding department website, digital signage, and other visibility opportunities; coordinate with university print services for program recruitment brochures, flyers, and other materials; maintain copy/print/fax facilities; assist faculty with IT/phone; communicate/coordinate with facilities, materials management, and other university departments.
Qualifications

Required Qualifications:
  • Associate’s degree required; Bachelor’s degree preferred.
  • Minimum of 1-3 years of related work experience.
  • Experience in advising and interacting with students.
  • Strong written and verbal communication skills.
  • Knowledge of spreadsheets and Microsoft Office suite, and strong computer literacy.
  • Experience using web-based communication applications such as Zoom and Microsoft Teams.
