Job Description:

POSITION SUMMARY
The Administrative Assistant in the Office of the Vice President of Student Affairs (VPSA) provides administrative support to the Student Affairs leadership team. This position offers a wide variety of administrative tasks to support and incrementally advance assigned projects toward accomplishing goals and desired results, including but not limited to areas across the Student Affairs’ leadership team portfolio, subject to management overview and supervision.

ESSENTIAL FUNCTIONS OF THE JOB

General Business Operation Support

Serves as the initial point of contact and screening for visitor access to the Vice President of Student Affairs Office. Performs responsibilities directly related to the management and general business operations of the Student Affairs division, including coordinating correspondence for the Student Affairs leadership team and the division, coordination of travel, coordination of meetings, reservations, agendas, and meeting minute distribution, supporting division monetary and budgeting transactions, collaborating with Executive Assistant to establish division procedures, maintaining schedules of the leadership team as needed.

Carries out major assignments in conducting the operations of the division. Manages capital equipment, coordinates all information flow directed to the Student Affairs leadership team and the Division, and performs other responsible administrative responsibilities on behalf of the division that requires the exercising of independent discretion pertaining to matters of significance.

Collaboration and Customer Service
Maintains excellent working relations with the public, students, and internal contacts as representative of the division. Advises and influences students on various matters, including students who have been referred to the Vice President’s office. Provides additional training and support to all division staff regarding divisional information, operations, and procedures. Works assigned schedule, exhibits regular, and predictable attendance, and works outside of normal schedule as needed to meet workload demands.

PHYSICAL REQUIREMENTS

The employee regularly stands and walks for extended periods of time and occasionally sits. The employee converses verbally with others in person and by telephone. Vision demands include close, relatively detailed vision when focusing on a computer screen. The employee occasionally lifts or exerts a force of up to 10 pounds when moving files, boxes, and other materials.

MINIMUM QUALIFICATIONS
An Associate’s Degree in a related field and three (3) years of administrative office experience.

State Motor Vehicle Operator's License or demonstrable ability to gain access to work site(s).
