Job Summary/Basic Function:

The Human Resources Generalist will provide general operational support with day-to-day administrative operations and will deliver services and support the full range of human resources programs and services including staff recruitment and employee onboarding, compensation, benefits, performance management, human resources systems, communications and training and development. The Human Resources Generalist will also assist with regular annual HR projects and special initiatives.

Human Resources Operations:
  • Assist with the day-to-day operations of the main HR office including responding to general HR questions or inquiries from employees, candidates and supervisors related to college policies, benefits, programs and other HR services.
  • Assist with the maintenance and processing of employee and benefits and payroll data, maintaining employee files and personnel related records in accordance with record retention guidelines, scanning and indexing of electronic employee records and developing processes and standard procedures for general HR administrative processes.
  • Assist with the development of guidelines and standards for the delivery of services in the HR front office and core administrative operations, including maintenance of employee records, maintenance of HR-related forms, responding to general HR inquiries, and general administrative operations.
  • Monitor general HR email inbox. Respond to email and/or forward as appropriate.
  • Manage and process employment verifications and unemployment claims and provide supporting documentation.
  • As part of the HR Team, assist with HR related annual or special projects and initiatives as necessary.
Payroll Processing/Data Management and HRIS :
  • Assist with the data entry and processing of new hires and terminations as well as other general employee payroll related and benefit changes in accordance with the college’s regular biweekly and monthly pay cycles.
  • Assist with the data entry and maintenance of other employment and demographic data and other Human Resources data processing including seasonal hires, leave accruals, annual salary adjustments and changes, adjunct faculty processing and other related changes.
  • Ensure data validation and data integrity and conduct regular audits and reviews of data.
  • Generate and run standard and ad-hoc reports using WebFocus and other reporting tools.
  • In collaboration with others, assist with the oversight and effective use and maintenance of the HR/Payroll system and sensitive employee data and information.
  • Assist with the ongoing training and support of staff in the efficient use of the HR/Payroll system.
  • Assist in the evaluation and implementation of processes and procedures related to the effective use of the HR/Payroll system.
  • Assist with the testing of system upgrades and enhancements.
Employment & Recruitment Responsibilities:
Under the direction of the Director of Human Resources Operations, coordinate and provide support for employment and staffing responsibilities including:
  • Coordinate and assist with all aspects of the employment and recruitment function including providing information and support to hiring managers, developing and maintaining job descriptions, coordinating job postings, maintaining candidate data, troubleshooting the online applicant tracking system (PeopleAdmin), communicating with candidates, conducting screening interviews, conducting reference checks, coordinating pre-employment physicals and background checks, and generating appointment letters.
  • Coordinate and support the onboarding of new hires, including scheduling and conducting new hire orientations, maintaining and updating onboarding resources, and initiating new hire set-ups in the Banner/HR system.
  • Assign, coordinate and ensure compliance with new hire training requirements as well as assign search committee training requirements, provide follow up and monitor completion. (Everfi & IBIS )
  • Coordinate and provide support with new employee onboarding and engagement efforts including developing, planning and coordinate all onboarding activities, programs and resources to facilitate and support the effective and successful onboarding, transition and retention of all new hires to the College.
  • Provide assistance with the off-boarding and exit processing of employees, including scheduling and conducting exit interviews, sending exit surveys, and preparing exit materials.
While the specific duties and responsibilities will vary depending upon background and experience as well as departmental needs, the expected scope of responsibilities may include some or all of the following:

Other Resources Responsibilities Depending upon Background and Experience May Include:
  • Coordinate and provide assistance with annual surveys and ad-hoc reporting, data collection, workforce metrics and analytics, and other reporting and analysis of employee and HR related data.
  • Provide assistance with and support human resources related communications, updating and maintaining employee handbook, developing content for newsletters, updating and maintaining the HR intranet and external web content.
  • Coordinate and provide assistance with employee engagement and recognition events and programs – develop communications, coordinate logistics, schedule rooms, order food, maintain registrations.
  • Provide assistance and support with the day-to-day management of the college’s staff performance management program including responding to general questions, troubleshooting performance management system issues, monitoring and tracking compliance and generating reports.
  • Coordinate and assist with the planning, coordination and scheduling of training and professional development programs including developing communications, coordinating logistics, managing registrations, generating attendance lists and coordinating session evaluations.
  • Coordinate and assist with the scheduling, communication and delivery of employee wellness programs and initiatives.
Minimum Qualifications:

Bachelor’s degree and minimum of two to three years’ of Human Resources related experience or equivalent combination of education and experience is required.
  • Previous direct experience in multiple human resources related functional areas or relevant knowledge and experience in human resources required.
  • Strong technology skills including proficient knowledge of Microsoft Office Suite including Excel (including pivot tables and v-lookups), PowerPoint and Word is essential.
  • Knowledge of or familiarity with HR or Payroll systems helpful.
  • Excellent organizational skills and attention to detail is essential.
  • Excellent interpersonal and oral and written communication skills.
  • Must be able to work independently and operate effectively within a team environment.
  • Must be effective and efficient and able to work successfully in a hybrid work environment.
  • Must be able to handle confidential information and matters with tact and discretion.
  • Excellent time management skills and ability to handle multiple priorities at one time are essential.
  • Ability to work effectively with frequent interruptions and competing demands to meet deadlines.
  • Strong customer service orientation is essential.
  • Demonstrated cultural competency and commitment to diversity, equity and inclusion and anti-racism efforts.
Preferred Qualifications:

Previous experience is higher education preferred.
Previous experience with Ellucian/Banner systems
