Purpose of Position
The purpose of this position is to be the Office Manager for the Center for Student Excellence. The individual in this pivotal position will ensure that the CSE reception function and office run smoothly and visitors are received warmly. Primary Responsibilities
Job responsibilities include but are not limited to:
· Facilitate student advising appointments and reception, cover the front desk as needed.
· Hire, train and manage student workers
· Maintain SOP for all CSE processes
· Support student and Center needs through knowledge, network and understanding of university systems, people, and departments, serve as liaison to other parts of the college and university
· Manage Center Budget – coordinating foundation, purchases, pro card reconciliation and all budget activities
· Responsible for being primary purchaser in the CSE and primary liaison with Procurement Services
· Assist with management of calendars for Assistant Dean and Directors
· Keep all Center members abreast of meetings, functions, etc…
· Maintain awareness of university policies and procedures and assist the Center in following them
· Check schedule for mistakes each semester
· Overall office management – oversight of all Center records, files, supplies, and equipment
· Knowledge of SAP and BW reports, support CSE by pulling reports for members as needed
· Assist Advisors with notification of advising appointments
· Administer academic coordination of BUS 101, 201 and 301 courses
· Generate reports for Center activities
Occasional/Periodic Duties Performed
· Provide support for COB events
· Coordinate scheduling of searches for new faculty or staff for the Center
· Coordinate travel processes for CSE related functions and tasks for CSE personnel
Qualifications
Required : Bachelor’s Degree in business or related field or equivalent experience. proficiency in all Microsoft office applications. Proven ability to learn new software platforms such as myNKU/ SAP, ADOBE, Qualtrics and others. Ability to operate basic office equipment and to lift and work with light objects (generally <25 lbs.).
The successful candidate will be a self-starter who is focused on support and customer service. The individual will be able to handle numerous tasks at one time. She/he will demonstrate excellent oral and written communications skills, time management, mature judgement, work ethic, teamwork, detail orientation, creativity, ability to work independently and commitment to results.
Preferred : 2 or more years of office management/administrative assistant experience.
Any candidate who is offered this position will be required to go through a pre-employment criminal background check as mandated by state law. Minimum Education Bachelor's Degree Preferred Education Bachelor's Degree Minimum Experience 2 years Salary $19.04/hr Minimum Pay Grade S68
