Job Description

Support the School of Medicine’s fundraising team as the Assistant to the Executive Director of Advancement.

This team member will manage scheduling and high-level relationship management for the Executive Director of Advancement for the School of Medicine, using excellent judgment and understanding along with discretion and confidentiality as required. The Executive Assistant will also manage key projects, event coordination, donor activities and priorities to ensure goals and strategies are met in support of the School of Medicine Advancement Team.

This team member will also:
  • Review and assist with verification of performance metrics, gift proposals, as well as the compilation of fundraising reports for the School of Medicine Advancement Team
  • Provide staff support for a variety of external and internal events including, but not limited to, donor recognition and fundraising activities;
  • Assist with the communication and/or scheduling of appointments—via correspondence, digital or phone as needed with key constituents;
  • Review/verify information on departmental income and expense statements to ensure accuracy using knowledge of University accounting procedures;
  • Lead coordination of vouchers, requisitions and documents as needed for the Executive Director;
  • Gather, organize and summarize information requested by the Executive Director in order to provide accurate data/information necessary for meetings/conferences using research techniques;
  • Compile timesheets/absence summaries and record information in Peoplesoft, as well as processing monthly charges as needed for the Executive Director
  • Coordinate and participate as needed in team meetings and retreats
  • Develop systems and processes for Executive Director and team to reflect modernization and innovation of current and future programs;
  • Create documents and presentations including some writing, editing and graphics as needed, particularly using PowerPoint and other tools;
  • Perform other duties as assigned.
Salary

Compensation starting at $20.00 an hour

Grade: GGS 8

Monday thru Friday, 8 am – 5 pm

Minimum Qualifications

Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications

Experience in business administration, personnel administration, or higher education administration is necessary. Proficient use of Microsoft Excel, Word, Outlook and Access; familiarity with PeopleSoft and Advance is preferred.
