Job Description:

Reporting to the Conference-Event Manager II, this Project Planner for conferences and special events at the University of Florida which includes budgeting, marketing, reporting is responsible for providing professional, courteous, and efficient service to university entities while adhering to university policies and procedures in order to meet client’s needs.
  • Assists Event Manager with collecting meeting specifics from internal and external clients and past meeting history to prepare preliminary budgets, requests for proposal used in meeting site selection, program task lists and timelines.
  • Reviews hotel contracts to ensure negotiated number of sleeping rooms, food and beverage events, audio visual equipment, and shipping/receiving information is correct. Works with Event Manager to reduce or eliminate attrition, coordinate production and shipment of required educational materials, and coordinate travel for speakers. Uses Microsoft Office to design and assemble speaker presentation and participant materials. Assists in the process of ensuring programs are closed out and final budgets are sent to clients.
  • Works with OPWD marketing team to prepare program marketing materials and websites.
  • Collects, maintains, and reports data including registration status reports, attendee sign-in rosters, course evaluation and course history.
  • Other duties assigned to maintain the efficient operation of the Conference Department
Expected Salary:

$45,000 - $50,000

Minimum Requirements:

A bachelor's degree in an appropriate area of specialization and three years of appropriate experience; or a high school diploma and seven years of appropriate experience. Appropriate college course work may substitute at an equivalent rate for the required experience.

Must have a valid driver's license.

Preferred Qualifications:

BS/BA Degree or four years of experience in Event/Meeting Planning.
Certified Meeting Professional (CMP), Knowledge of University of Florida procedures, and experience in Microsoft Office
