Job Summary: The Manager of Art Gallery Operations is responsible for facilitating daily procedures of The Art Galleries at TCU by assisting the Gallery Director to implement gallery and educational activities; devising and implementing marketing and promotional materials; maintaining archives; and providing administrative support. Duties & Essential Job Functions: 1. Coordinates all activities and events for the Art Galleries TCU in consultation with Gallery Director/Curator; interpreting and communicating policies; providing information and procedures for facility use; responding to requests and answering questions from TCU students, faculty and staff, and the public.
2. Prepares facilities for exhibitions and events by coordinating changes or repairs to building and gallery venue with appropriate departments, artists, and outside vendors; supervising the installation, maintenance, and removal of exhibits; coordinating shipping, receiving and insurance.
3. Documents all programming by the Art Galleries at TCU including photographing, producing video and audio recordings of lectures, gallery tours, and other activities occurring in conjunction with exhibitions; promoting all programming through social media platforms and other digital assets; where necessary, functioning as draft designer, copy editor, and schedule manager of gallery brochures and catalogue design.
4. Communicates regularly with the College of Fine Arts Marketing & Communications Coordinator to manage marketing and publicity by drafting and distributing press releases and reminders of events through print and digital means; communicating with the local, national and international art media to increase gallery exposure.
5. Managing digital mailing and professional contact lists; collaborating with Gallery Director/Curator to identify and implement strategies and programs to increase audiences and enhance participation in the gallery programs.
6. Assists Gallery Director/Curator in the administration of exhibitions, including artist liaison (booking travel and accommodation, and preparing contracts and payments for visiting artists) and maintaining records for all works on exhibition (checklists, loan forms and condition reports).
7. Maintains facilities by coordinating with the appropriate departments for scheduling routine maintenance and minor to major renovations; designing layout of space, considering factors of lighting, location, and size; recommending purchases for the Art Galleries at TCU; inventorying and monitoring storage areas.
8. Maintains safe environment by maintaining locked/unlocked doors at assigned times; controlling access to keys and combination codes for venues and facilities; monitoring and changing keys and codes to secured areas as needed. Maintains safe environment by managing safety protocols (COVID-19) and risk-assessing large projects as needed.
9. Monitors expenses by gathering and reporting budget information; monitoring invoices and purchase orders, scheduling and reconciling expenditures, providing reports for management.
10. Manages public relations by greeting visitors and guests; providing information and assistance regarding gallery functions; providing general information about events on campus; acting as a liaison with faculty, students, and artists, other galleries and institutions; providing a positive impression of TCU.
11. Accomplishes staff results by interviewing and hiring new attendants, training, prioritizing, scheduling and assigning work; monitoring work results; managing the schedules of work study gallery attendants and graduate gallery assistants; processing pay and maintaining records.
12. Performs other related duties as assigned. Required Education & Experience : • Bachelor’s degree in Studio Art, Art History, or related field of study.
• 1 year experience in an environment providing gallery and educational program development, including marketing of gallery functions. Preferred Education & Experience: • Master’s degree in Studio Art, Art History, or related field of study.
• 2 years’ experience in an environment providing gallery and educational program development, including marketing of gallery functions.
• Skill in Adobe Creative Suite software (Photoshop, Lightroom, Premiere, Illustrator)
• Skills in the use of power tools. Required Licensure/Certification/Specialized Training: • None Preferred Licensure, Certification, and/or Specialized Training: • Valid Texas Driver’s License.
• Must be insurable under the university motor vehicle requirements. Knowledge, Skills & Abilities: • Knowledge of basic exhibition installation and standard gallery practices.
• Knowledge of basic research techniques.
• Knowledge of basic accounting processes.
• Knowledge of basic bookkeeping and record keeping techniques.
• Skill in Microsoft Windows navigation.
• Skill in some or all components of Microsoft Office.
• Skill in some or all components of Adobe Creative Suite software (Photoshop, Lightroom, Premiere, Illustrator)
• Skill in customer relations.
• Ability to manage multiple projects and meet deadlines.
• Ability to clearly communicate information.
• Ability to draft grammatically correct correspondence.
• Ability to assume administrative tasks and make independent decisions regarding daily activities.
• Ability to schedule, plan and coordinate events. TCU Core Competencies: N/A Physical Requirements (With or Without Accommodations): • Manual dexterity for typing, writing, standing and reaching, flexibility, body movement for bending, crouching, walking, kneeling and prolonged sitting.
• Working at height on ladders to adjust lighting and install art work
• Visual acuity to read information from computer screens, forms and other printed materials and information.
• Able to speak (enunciate) clearly in conversation and general communication.
• Hearing ability for verbal communication/conversation/responses via telephone, telephone systems, and face-to-face interactions.
• Lifting and moving objects and equipment up to 30lbs. Work Environment: • Work is generally indoors and a combination of active and sedentary. The role involves moving between two gallery spaces on campus, including carrying/moving equipment.
• This role is an on-campus, in-person position.
• Work is subject to schedule changes and/or variable work hours.
• There are no harmful environmental conditions present for this job.
