Job Summary

Evaluate the transfer of undergraduate credits toward the bachelor’s degree, facilitate the development of articulation policies for transfer courses, and prescreen potential transfer courses for continuing students. Work with all aspects of degree auditing and processes associated with students' progress towards graduation. Communicate requirements to students, review degree applications for all graduating students, set up students' degree programs in the degree audit module and enter exceptions and waivers. Serve as School Certifying Officials for veterans for the CAS.

This position is represented by the Lewis & Clark College Support Staff Association Local 4912 of the American Federation of LCCSSA Collective Bargaining Agreement.

What You'll Do

Degree Audit Support (35%)
  • Review student progress toward graduation and notify students of degree requirements and any deficiencies within their requirements.

  • Communicate academic policy as it pertains to graduation requirements and provide options for completing requirements.

  • Perform a final evaluation of all student degrees to ensure that degree requirements are met and coordinate diploma printing and distribution process.

  • Manage all aspects of degree audit in the college's database (Colleague).

  • Set up student degree programs and enter all necessary exceptions, waivers, and program changes.

Transfer Credit Support (25%)
  • Evaluate transfer credits for all students based on college policy and students’ academic status.

  • Record completed transfer credit and coordinate course substitution process with academic departments as needed.

  • Communicate transfer credit information and academic policy to new and continuing students.

  • Maintain a database of transfer credit guidelines, equivalencies, and academic policies and procedures.

  • Communicate and implement all academic policy as it relates to degree requirements of undergraduate students.

Administer LC Overseas Transcription Process (10%)
  • Register students, record final grades, and apply courses to general education requirements as appropriate.

  • Facilitate Non-LC Study Abroad application process with the Overseas office and provide the required documentation to third party study abroad programs.

  • Record coursework upon return and apply to degree as necessary.

Act as School Certifying Officials for veterans (10%)
  • Update the State Approving Agency of any changes in programs, policies, and/or procedures in order to maintain status as V.A. eligible institution.

Coordinate Petitions and Re-admissions Processes (10%)
  • Explain the nuances of college policies to aid students in the articulation of their appeals.

  • Assemble required documentation, request additional documentation as necessary, provide additional academic information if applicable, and upload materials to the Petitions Committee.

  • Review LC transcripts and any potential transfer credit to determine remaining degree requirements and time to completion.

Administrative Duties (10%)
  • Provide customer service and back-up for the front counter and phone lines, assist with registration, transcript requests, and provide office coverage as necessary.

Minimum Qualifications :
  • Bachelor's degree, or an equivalent combination of education and relevant training/experience.

  • 3 years experience in a Registrar’s office or closely related office; knowledge of and experience with the application of academic records policies and procedures.

  • Excellent analytical skills and broad scope of independent judgement and decision making related to regulatory and policy guidelines.

  • Ability to work independently and coordinate multiple and varied projects at one time.

  • Effective time management ability and attention to detail.

  • Superior written, verbal, and interpersonal communication skills.

  • Discretion, personal integrity, and superior ethics. This position deals extensively with confidential and sensitive information. Violation of these confidences could result in financial sanctions for the College and dismissal for the employee

  • PC computer experience and MS Office suite skills, particularly Excel.

  • Ability to successfully complete Veteran’s Certifying Official training within six months of employment.

Preferred Qualifications:
  • Proficiency with integrated educational software system such as Colleague or Banner.

  • Experience with Informer reporting software.

  • LCCSSA Grade 16 ($ 28.84 /hr)

Eligibility to Work
