Events Management Coordinator

The George Mason University Schar School of Policy and Government, invites applications for the position of Events Management Coordinator. About the Position:

The Events Management Coordinator will support the Schar School by providing administrative and logistic planning and execution for conferences, workshops, receptions, seminars, and other School events, both in-person and online. The Events Management Coordinator will ensure all Schar School events are presented and promoted in a polished and professional manner in line with best practices in events management to optimize participation and impact in terms of achieving Schar School goals.

Responsibilities:

  • Coordinate and manage events sponsored by the Schar School. Serve as the primary point of contact for faculty, staff, directors, administrators, and Mason events management; Provide project management, logistic, and administrative services, including budgeting as needed for meetings, conferences, workshops, panels, receptions, seminars, and other School activities; Work with Schar School internal and external groups to fulfill event needs such as securing space, audiovisual needs, marketing, catering, transportation, facilities management, and more; When necessary, coordinate, facilitate and lead virtual events, webinars and meetings using video conferencing platforms such as Zoom and MS Teams. Possess advanced conversancy with such platforms for optimally professional-quality presentations and recordings. (For instance, understand how to organize meeting and webinar logistics such as seamlessly managing breakout rooms, facilitating Q&A, and preparing polished recordings); Responsible for managing event support and staffing; Coordinate with Schar School Marketing, Admissions, Development, and Alumni Affairs as needed to maximize event outreach potential; Coordinate with Marketing and Print Services to create promotional posters, flyers and other materials, including social media, for distribution virtually and in hard copy.

Required Qualifications:

  • Bachelor’s degree or equivalent combination of relevant education and experience; Demonstrated experience in events management; Knowledge of scheduling and events management applications; Skilled in providing effective customer service and vendor management; Demonstrated skill in effective verbal, interpersonal, and written communication; Advanced skill use of Microsoft Office Suite (Word, Excel, Outlook and PowerPoint); Ability to be well-organized and detail oriented; multi-task; anticipate issues, prioritize tasks, meet deadlines, and adapt plans in a dynamic environment; Ability to identify and forecast operational needs and manage daily operations; Ability to communicate effectively with faculty, staff, and administrators across multiple disciplines and administrative offices; Ability to work well with co-workers and diverse faculty, visiting VIPs, and outside individuals and groups; Familiarity with MS Teams, Zoom, and other video conference platforms, and ability to organize, facilitate, and lead video conference meetings, webinars, and other events; and Occasional evening and weekend work will be required.

Preferred Qualifications:

  • Enthusiasm for and interest in the mission of the School and the wider field of public affairs, government or policy; Knowledge of Mason event or other university applications and operational needs in a university academic building; Knowledge of university policies and procedures; and Familiarity with university scheduling applications (such as 25Live; calendar/scheduling) and events management.
