Job Description:

Provide administrative support for the Chancellor, establish and maintain strong working relationships with the campus community; utilize a high degree of judgment, discretion, and initiative to develop, coordinate, and manage all aspects of the Chancellor's daily and long-term schedule. Oversee and manage the daily operations of the Office of the Chancellor, providing clerical, administrative and time management support to aid materially in the achievement of the Chancellor's goals.

 

The Executive Assistant will work closely with the Chancellor, Chief of Staff to the Chancellor, Chief of Staff to the President, and Executive Vice President to ensure a seamless operation.

 

  • Serves as face of the Chancellor's Office by greeting all visitors.

 

  • Perform a variety of highly sensitive and confidential administrative tasks designed to ensure the efficient operation and management of the Chancellor's Office, including answering the telephone, opening and sorting mail and email, handling highly confidential documents and information, and calendar and events management.

 

  • Must possess a strong commitment to the mission of Dean College with unquestioned integrity, a keen sense of confidentiality and professional manner. Utilize a high degree of judgment, discretion and initiative in coordinating and managing the Chancellor's schedule.

 

  • Maintain calendar and organize one-on-one, group and committee meetings, and board of trustees committee meetings; evaluate, respond and track invitations and scheduling requests; manage logistics for events; coordinate travel arrangements; and keep the Chancellor on schedule throughout the day.

 

  • Maintain budgets and prepare monthly expense reports and reimbursement forms; order and maintain office supplies and equipment; and process invoices for payment.

 

  • Utilize advanced written and verbal communication skills. Employ excellent organizational and project management skills, show strong attention to detail, and exhibit a high level of flexibility, reliability, and dependability.

 

  • Demonstrate ability to work in a diverse environment effectively managing multiple priorities and challenging situations simultaneously, strong organizational skills, and proven independent critical thinking and analytical skills to make prudent judgments and decisions.

 

  • Exhibit the ability to develop a broad knowledge of the overall College operations and apply that knowledge to the day-to-day management and operations of the Office of the Chancellor. Proven ability to independently prioritize and meet deadlines while maintaining composure and tact during high stress situations and under heavy workload with competitive/conflicting priorities, frequent interruptions, and other demands.

 

  • Demonstrate strong relationship-building skills to establish and maintain cooperative working relationships with individuals/groups including interactions with the staff, faculty, students, alums, Board of Trustees, executive personnel from other higher education institutions, local, state and federal government representatives, chief executives of major private corporations, local community leaders, and other external constituency groups.

 

  • Performs other duties as required or assigned.

Requirements:

  • Bachelor's degree required, 5+ years' experience in office administration, either as a scheduler or executive assistant, in a fast-paced operational role.
  • Although no particular academic background is required, exposure to academic administration is preferred.
  • Strong administrative, organizational and interpersonal skills along with honesty, integrity and commitment to maintaining high professional standards; strong attention to detail; ability to multitask; ability to maintain confidentiality; ability to work independently, in cooperation with staff and faculty, and a diverse community.
  • Proficient in Microsoft Office programs.
  • COVID-19 Vaccination and Booster required.
