REPORTS TO: Event Manager

PRINCIPAL RESPONSIBILITIES:

  1. Works with internal and external constituencies to schedule meetings and space reservations according to the campus’ fee structure.
  2. Collaborates with campus partners (e.g. student life, athletics, police, theater, buildings, and grounds) to provide efficient campus facility operations.
  3. Ensures that campus policies and procedures are followed for all internal conferences, and external group events that are held at the College.
  4. Develops and maintains group reservation and confirmation policies and procedures. Acts as primary contact person for information and correspondence confirmation.
  5. Develops and disseminates written reservation and confirmation correspondence, including reservation/interest forms, contracts, and confirmation letters/forms.
  6. Coordinates and monitors payment policies and procedures to ensure timely and accurate collection of deposits and fees.
  7. Provides event advice, makes specific recommendations, and coordinates efforts to achieve the goals established by the College.
  8. Coordinates internal and external events, streamlines communication, and enforces event policies and procedures throughout the College.
  9. Attends events and serves as a point of contact for customers; contacts customers prior to events to confirm requests; and determines potential needs and makes suggestions.
  10. Supports the Event Manager with the planning, coordination, and implementation of visits and events.
  11. Performs the functions of the Event Manager when the Event Manager is not present.
  12. Performs other duties as assigned.


MINIMUM QUALIFICATIONS:
  • Associate degree
  • One year of events-related work experience
  • Strong computer skills with knowledge of Microsoft Office and Event Management System (EMS)
  • Excellent verbal, written, and interpersonal communication skills
PREFERRED QUALIFICATIONS:
  • Bachelor’s degree
  • Experience working in higher education

SUPPLEMENTAL INFORMATION:

SCHEDULE: 20 hours per week

Hours flexible, weekends or evenings may be required.
