Chief Objective of Position:

Provides marketing, event planning, and administrative support to the Gregory P. Klich Alumni House and the Office of Alumni Relations to build strong alumni support for the University.

 

Work Tasks:

  1. Provide event coordination for on-campus programs of the Office of Alumni Relations including, but not limited to:
    • Reunion Programming (Non-Chapters)
    • Senior Class Programming
    • Homecoming
    • Commencement Weekend Alumni event and ceremonies
    • The Official Christopher Newport Ring Program
    • Family Weekend alumni events and ceremonies
    • Alumni Society Board Meetings
    • Event creative and logistics manager for the Gregory P. Klich Alumni House
  2. Manages Assistant Director of Alumni Relations.
  3. Serves as lead on all Klich Alumni House operations.
  4. Works with scheduling, catering, and other departments on campus for the coordination and execution of Christopher Newport Alumni House events and activities as directed by the Senior Director of Alumni Engagement.
  5. Works with the Alumni Marketing Associate on all supervised/owned events, including print, social media, electronic invitations, and mass postcards.
  6. Responsible for Alumni Travel Program, Captains Exploring Together. The program covers all international and domestic alumni travel.
  7. Create and schedule emails in iModules platform.
  8. Create and manage event registrations in iModules platform.
  9. Create and execute all alumni-centric CNU Day events and activities in partnership with the annual giving team, office communications & public relations.
  10. Engage and oversee alumni volunteers in various campus activities and events.
  11. Develops a customer service approach to more effectively promote the “students first” initiative ensuring that all constituents are served in a fast, friendly, efficient, and effective manner. Develops and maintains very positive and professional customer service and/or relations within the office/department and with all constituencies to include students, faculty, staff, guests, and employees. Demonstrates a positive and professional attitude and treats everyone with dignity and respect. Fully supports CNU Traditions and the “Students First” value at CNU and routinely goes the extra mile in providing service.
  12. Safety issues are reviewed and communicated and goals are set to ensure a safe and healthy workplace and a reduction in work related absences. Any violation of safety rules are addressed promptly.
  13. Follow workplace safety regulations and adhere to applicable standards, processes, and programs established for your position.
  14. Report unsafe work conditions to your supervisor.
  15. Immediately report work-related incidents to your supervisor and participate in accident investigation requests.
  16. Promote a safe and healthy work environment by ensuring the implementation of safety regulations and applicable standards, processes, and programs established for employees under your supervision.
  17. Ensure employees under your supervision are trained in safety standards and procedures for their positions.
  18. Report work-related incidents within 24 hours according to the procedures established by the university, state and federal guidelines.
  19. The position is designated as a “responsible employee” who has the authority to redress sexual violence, who has the duty to report the incidents of sexual violence or other student misconduct, or who a student could reasonably believe has this authority or duty.
  20. Performs other duties as assigned.

Knowledge, Skills, Abilities (KSA's) required: Excellent oral and written communication skills. Ability to foster positive internal and external public relations. Demonstrated ability to manage several projects simultaneously. Ability to work both independently and in a team environment. Ability to work a flexible schedule. Ability to work nights, weekends, and holidays as needed. Excellent computer skills to include word processing, spreadsheets, and databases.

Knowledge, Skills, Abilities (KSA's) preferred: Proficiency in Microsoft Office suite programs.

Required Education: Must have a Master’s Degree or a Bachelor’s Degree and work experience at a level which equates to an advanced degree, at time of start date.

Experience Required: Experience in all facets of planning events. Demonstrated experience working with and coordinating volunteers.

Experience Preferred: Experience in event leadership/management, community relations, fundraising, program development and management, social media marketing and basic graphic design.

Sensitive Position: No. A sensitive position requires a fingerprint-based criminal history check. This is NOT a sensitive position.

Campus Security Authority: Yes. This position is designated as a Campus Security Authority. A CSA is defined as an “official of the institution with significant responsibility for student and campus activities.” A CSA is required to immediately report any crime that is reported to them to the University Police who will then review, evaluate, and investigate the reported crime. Annual training is required by the Department of Education for all personnel who have been designated as a CSA.

Designated Personnel: No. A “designated position” means this position could potentially be required to work (depending on the event) during an emergency closing. This is NOT a “designated position.”
