Job Description:

GENERAL STATEMENT OF RESPONSIBILITIES:

In this grant funded position, the International Education Advisor ensures institutional compliance with all federal regulations as well as maintenance of student and campus records. The AEC International Student Advisor collaborates with Hyannis Center Administration, Teaching, and Advising staff, as well as CCCC and community partners to provide a holistic approach to international student success and serves as a resource for AEC students, staff, and faculty with regard to international student support.

EXAMPLES OF DUTIES:

1. Provide translation and communication services for international students, primarily Portuguese and Spanish speaking ESOL students and waitlist applicants, including the following:
  • Assist with student placement, student orientation process, communicating with students over the phone including Portuguese/Spanish Interpretation.
  • Assist teacher and/or administrative staff regarding student or classroom issue.
  • Provide routine information about AEC program (in person, by phone or email).
  • Translate waitlist letters/intent forms and other written forms/documents used by students.
  • Conduct periodic Intake interviews in person or by phone for ESOL and HiSET students.
2. Plan and coordinate schedule for semi-annual ESOL Placement Test w/Administrative Team, including the following:
  • Call 150-200 International applicants to schedule placement tests and record phone call outcomes into Placement Call Sheet in SharePoint.
  • Coordinate Intake Forms for use by Teachers on Test Day before and after Placement Tests and submitted by Instructors at the end of Test Day.
3. Compose Waitlist Intent Mailing and alert text messages in Portuguese, Spanish, and English; track waitlist intent mailing responses in LACES; highlight and record indicated contact and preference changes from returned letter by applicants into LACES.
4. On a quarterly basis, contact exited students, for NRS cohort follow up and provide academic advising to assist students who are in educational transition; assess students with need for services and make appropriate referrals and consult with teachers and program advisors; utilize Jenzabar and LACES to research follow up outcomes and record follow up data.
5. Assist in the creation/updating of confidential student records in Jenzabar, according to FERPA/state regulations, including registration of students; research and answer ESOL student waitlist status inquiries and record contact notes as well as other data in LACES.
6. Check for student report card submission/completion at year end and check AEC email for ESOL and HiSET inquiry forms online and respond via email, phone, or text message.
7. Assist with related special projects as needed.


Requirements:

MINIMUM QUALIFICATIONS :

  1. Bachelor's degree in counseling, student services, adult basic education, ESOL studies or a related discipline.
  2. Four years of experience in education advising with international students and working with Adult Learners with demonstrated ability to relate to the needs and interests of adult students enrolled in ESOL courses.
  3. Two years of experience using data base systems that house student data.
  4. Fluency in Portuguese and Spanish.
  5. Demonstrated experience with multicultural students.
  6. Excellent communication skills and demonstrated ability to collaborate.
  7. Excellent problem-solving skills.
  8. Familiarity with Cape Cod social service agencies.
  9. Demonstrated experience using information technology including entering and manipulating information in a database format, and proficiency with Zoom, Microsoft Word, Excel, and PowerPoint.
  10. Valid driver's license and access to a vehicle.

Additional Information:

COMPENSATION : $28.50 per hour, for up to 15 hours per week. Approximate period of employment is August 2022 - June 2023. Part-time, non-benefited, grant funded MCCC Unit position.
