Position Title AP Supervisor The Opportunity

The Accounts Payable Supervisor will help create an environment that encourages and builds upon process efficiency and effectiveness for the purpose of allevating the financial and administrative burden on various campus constituents.

Responsibilities

This position will supervise the following functional areas: Accounts Payable, OneCard Program, Fuel Card Program, Travel and Expense Management. Duties include:

Supervision:
  • Plan, prioritize, assign, analyze and monitor workflow, and maintain appropriate staffing levels and review progress to ensure the quality and quantity of work meets standards, deadlines for deliverables, and program goals and objectives.
  • Establish work schedules, review and approve worktime and absences using the automated system.
  • Identify training and developmental needs, and provide training to develop skills.
  • Provide feedback and coaching, write and review performance plans, and evaluate and sign employee performance evaluations.
  • Resolve employee performance problems and issues, disputes, and grievances
  • issue corrective actions and initiate discipline as needed.
  • Write and review position descriptions, recommend promotions or demotions, changes in pay, and sign personnel action forms.
  • Initiate the hiring process, provide subject matter expertise to HR during the comparative analysis process, interview applicants, and hire.
  • Ensure staff understands and receives training for best practices, rules and regulations related to their specific roles.
  • Develop and foster an environment of continuous improvement, collaboration and service.
  • Responsible for timely and accurate processes within each functional area.
Accounts Payable/Operations
  • Responsible for ensuring adherence to Mines policies
    • Adherence to financial, procurement, travel policies
    • Ensure staff has a solid understanding of policies, and the business purpose of the policies
    • Understanding when a business process or landscape in Higher Education has changed and policies need to be reviewed and recommendations to policy change is warranted.
  • Managing accounts payable using accounting software and other programs need for compliance and effeciency
  • Oversee all payment transactions such as ACH, wire transfers, paper checks, and credit card(s)
  • Assist in the Accounts Payable monthly close process
  • Verifies campus requests are processed timely and accurately while adhering to procedures and fiscal rules
  • Processing transactions and performing accounting duties such as account maintenance, recording entries and reconciling liability accounts
  • Effectively identify, recommend, and implement scalable process optimization, resource efficiency, and automation opportunities
  • Prepare and process annual 1099 reporting, mailings and IRS filings and any corrections
  • Responsible for leading the accounts payable function in compliance with internal controls, policies and procedures
  • Provide guidance and direction on projects, process improvements, and workflow documentation
  • Assist with annual financial audit, research audits, PERA Audits and other audit including preparation of audit schedules and responding to audit inquiries
  • Work closely with external auditors during audit by preparing requested information and addressing auditor inquiries related to A/P
  • Act as point of escalation for accounts payable to ensure timely remediation of issues.
  • Oversee vendor onboarding and maintain the integrity of vendor files and documents, such as W-9's and W-8BEN to ensure compliant, complete, and accurate information
  • Collaborate closely with the Associate and Assistant Controllers for an efficient close process and to produce accurate financial reporting
  • Vendor invoice review, processing, and reconciliation
  • Prepare correcting entries when errors are identified
  • Review unclaimed payments and follow the escheat process twice annually
Metrics and Process Improvement
  • Develop appropriate and useful measures and metrics to assess and understand department wide service levels, department and individual performance levels, customer satisfaction, and other information necessary to continuously improve the quality and efficiency of service; and
  • Analyzes data and information to identify performance levels, service trends, issues and opportunities for process and service level enhancement.
    • Review and develop processes that meet internal control and segregation of duty requirements.
Stakeholder Partnership and Shared Governance
  • Ensures the shared services functions meets or exceeds user expectations and requirements.
  • Actively develops campus collaboration through shared responsibility in positive outcomes for campus clients, the Golden community and shared services.
  • Establishing and maintaining relationships with new and existing vendors
  • Provide guidance and training to the campus community on processes, forms and rules related to all areas of financial management under the purview of the position
Minimum Qualifications
  • A Bachelor’s degree in Accounting, Business Management, Finance, or closely-related degree;
  • 2+ years progressive experience in Accounts Payable;
  • 2+ years of demonstratable experience supervising and developing teams.
  • Understanding of and experience applying general accounting principles and standards in a professional setting.
Preferred Qualifications
  • 3+ years of progressive supervision experience
  • 3+ years of managing and developing teams.
  • Knowledge of governmental accounting
  • A high-level understanding of accounts payable, travel, finance and business operations
  • Knowledge of higher education culture, governance, structures and mission
  • Experience using Workday

Pay Range

$61,400 - $69,825 annually

Mines takes into consideration a combination of candidate’s education, training and experience as well as the position’s scope and complexity, the discretion and latitude required in the role, work location, and external market and internal value when determining a salary level for potential new employees.
