Job Summary

The College of Arts and Sciences at CU Boulder encourages applications for a Faculty Development Coordinator! During the academic year, this position works with dual personnel committees for Tenure/Tenure-Track (T/TT) and NON-TT reviews and coordinates the Faculty Development Program events in the College; during the summer session months, this position is responsible for scheduling and works with the Assistant Dean of Faculty Success in creating programming for the Faculty Development Programming. This position reports to the Arts and Sciences Faculty Affairs Director.

What Your Key Responsibilities Will Be

A&S Faculty Committees Support

Tenure Track
  • Manages the reappointment, tenure, promotion, and hire with tenure processes in the College of Arts and Sciences for 80-100 candidates each year.
  • Serves as a primary informational resource for department chairs, program directors, classified and professional exempt staff, faculty, and Deans.
  • Arranges and supervises a committee of divisional volunteers who provide support to units in the reappointment, tenure, promotion, and post-tenure review processes.
  • Determines faculty eligibility each year based on contractual agreements and college, campus, and university policies.
  • Trains department staff in the preparation of notebooks, answers all questions regarding the reappointment processes and keeps Deans of Divisions and the Associate Deans appraised of activity until all decisions have been made on each case by the Board of Regents.
  • Receives dossiers, reviews for completeness, and requests correction in the case of procedural errors. Manages information on a secure site.
  • Sets agendas, and assigns cases to committee members based on their research or creative work that is being presented and the expertise of each committee member.
  • Attends all meetings, records votes, provides PowerPoint slides for each candidate, and orders catering (in-person meetings only).
  • Manages the tenure clock for all professors.
Non-Tenure Track Teaching Professor Reappointment
  • Serves as the lead for the Teaching Professor personnel committee, setting the standard and helping to organize and coordinate these efforts.
  • Maintains records of Teaching Professor reappointment schedules.
  • Notifies units and faculty in the spring term of upcoming reappointments.
  • Collects and reviews dossiers for NON-TT reappointments.
  • Routes reappointment dossier to the appropriate governing body and/or Divisional Dean for review.
  • Notifies units, faculty members, and College of approved reappointments.
  • Manages all instructor reappointment appeals.
Faculty Development, Events, & Process Improvement

Events
  • Official College of Arts and Sciences events include: Chairs and Director's Dinner, New Faculty Social, Professor of Distinction Lecture and Reception, Promotion and Tenure Dinner (Ad hoc College of Arts and Science events may occur.)
  • Researches, determines, and reserves locations, contacts caterers, florists, servers, and any other professionals needed for a successful event.
  • Determines budget guidelines for events and pays vendors.
  • Provides any written information needed to event participants.
  • Ensures all alcohol and event policies for the campus and venue are followed.
Post Tenure Review/Professor of Distinction (academic year, mid-August to mid-May)
  • Manages the Professor of Distinction selection process, working with the Personnel Committee, Deans, and Department Chairs and Staff.
  • Sets and follows timelines for nominations, collects nominations, and checks for initial eligibility.
  • Sets timelines for Personnel Committee review, making sure all involved department chairs are notified, and contacts external reviewers.
  • Contacts Professor of Distinction awardees and arranges a date for the lectures, gets biographical information and photos for the program and website, and works with A&S' Web Designer on publicity and programs.
  • Post Tenure Review process to include but is not limited to collecting completed dossiers from departments, ensuring that all partners have all necessary materials.
Collaboration & Process Improvement (calendar year)
  • Works in collaboration with Personnel Team and Deans developing and implementing college-wide initiatives (i.e. new faculty onboarding, staff development and persistence, faculty and staff mentorship).
  • Works in collaboration with the A&S Personnel Team and other partners to improve and align college-wide processes and/or policies.
  • Takes ownership of process and tool clean-up by participating in meetings with other partners, assisting with the identification and development of process efficiencies involving resources and tools, and assisting with the implementation and communication of updates.
  • Works in collaboration with the Office of Faculty Affairs to identify and improve internal processes for Tenure/Tenure Track faculty career cycles.
Administrative, Tracking, & Documentation (calendar year)
  • Manages and maintains documents related to personnel actions in faculty files in alignment with document retention policies.
  • Files electronic faculty affairs documents in faculty personnel files on a shared drive, using established naming conventions.
  • Assists Arts and Sciences Faculty Affairs Team with organizing records, tools, and resources.
  • During the summer months, provides backup to Faculty Affairs Team on faculty recruitment process.
Communication
  • Works in collaboration with the College Director of Faculty Affairs and Associate Dean of Faculty Success in reviewing and creating Divisional Webpage language.
  • Implements website updates.

This position is anticipated to work a hybrid format, after an in-person training period.

What We Can Offer

The annual salary range is $58,000- $63,000.

What We Would Like You To Have
  • Higher education experience and/or faculty governance experience.
  • 2+ years experience in providing professional-level operations or administrative support.
  • Working knowledge of complex human resources information and management systems.
  • Demonstrated track record of communicating effectively and building and maintaining relationships at all levels of an organization.
  • Experience working within a regulatory framework.
