Job Description:

Basic Function and Responsibility:

Inform students and parents about federal, state, and institutional financial aid programs, regulations and processes, and financial options to help them achieve their educational goals. Determine financial aid awards for all programs through analysis of a student's general, financial, and academic eligibility for financial aid. Provide information related to responsible student loan borrowing, financial literacy, and student loan repayment and guide students toward more responsible financial decision-making. Maintain an ongoing connection with student loan borrowers to support repayment of funds.

Characteristic Duties and Responsibilities:
  • Apply state, federal and campus regulations to a student's application for financial aid. Determine compliance with and advise students on the academic progress requirements for the financial aid programs. Use Oakton's degree audit system to review and interpret student coursework in relation to academic program requirements and federal regulation.
  • Determine award eligibility of all institutional, state and federal aid programs through a review of needs analysis. Package and certify federal student loans. Perform verification on all required students as well as those with conflicting information. Collect the appropriate residency information for students eligible for state programs. Resolve problems during the application process.
  • Effectively communicate, both written and verbal, to students and parents regarding financial aid processes, regulations, student loan repayment, payment options and financial literacy. Counsel students and parents with complex, extenuating, or unusual circumstances related to enrollment, verification, and repayment of financial aid funds. Present Oakton Community College financial assistance information at high schools in the Oakton Community College District or at Oakton Community College events.
  • Provide students, staff and community integrated and comprehensive information regarding enrollment, payment and student support services, programs, and processes. Display initiative and be proactive in delivery of information to students, staff and community and provide excellent customer services.
  • Analyze student enrollment information at various points throughout the semester to ensure financial aid funds and bookstore vouchers are calculated correctly and disbursed to students' accounts according to federal, state, and institutional regulations. Perform Return of Title IV calculations and adjust financial aid awards appropriately.
  • Certify and provide enrollment information to various agencies. For student loan recipients, ensure entrance interviews are completed. Re-determine eligibility prior to disbursement of funds. Maintain accurate fiscal records and enrollment information.
  • Coordinate and conduct student loan exit counseling to provide information about repayment requirements, deferment, forbearance, loan forgiveness, and loan rehabilitation options. Assist student loan servicers and third party vendors to facilitate student loan repayment and loan collection.
  • Follow-up with students who appear on loan repayment reports to proactively contact students in danger of defaulting and explain their available repayment options. Actively assist and counsel students to resolve delinquencies and prevent default via deferment or forbearance; assist students with relevant paperwork/forms and provide contact information for lenders and servicers. Review draft and final cohort default reports for errors and coordinate submission of any loan default appeals.
  • Actively engage in cross-training and other professional development activities in order to maintain and enhance knowledge, skills and abilities.
  • Assist in audits, program review, and reconciliation processes. Provide research assistance on financial aid regulations and provide recommendations regarding policy and compliance.
  • Perform other job related duties as assigned.

Requirements:

Qualifications and Working Conditions:
  • Bachelor's degree required or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired is required.
  • Two or more years of financial aid advising experience, preferably in a college setting, is required.
  • A high level of interpersonal and communication skills are required. Incumbent must be able to give and receive advice and opinions and interact with individuals in situations requiring sensitivity and tact.
  • Ability to develop and conduct presentations for a variety of student and parent audiences is required.
  • Ability to read and accurately interpret financial aid documents, regulations, and academic information.
  • Intermediate level ability with Microsoft Office Suite software is required. Experience with financial aid software is preferred.
  • General office environment. Little or no exposure to adverse working conditions.

Supervision Received:

General Supervision is received from the Manager of Student Financial Assistance

Supervision Exercised:

Functional supervision may be exercised over two student employees.

Based on the needs of the college and with Administrator approval, some positions at the college may have remote or hybrid schedule options available. Please note, that during the 65 working day probationary period, employees are required to report to campus.

HOURS: Monday - Friday 8:15 am - 5:00 pm

SALARY: $51,338
