Department Summary

The Lundquist College of Business (LCB) is one of seven schools housing academic programs on the University of Oregon campus. The college works cooperatively with other UO Colleges and Schools to prepare students for a broad range of career paths. There are approximately 50 full-time faculty members, 54 instructors and adjuncts, 44 administrative positions, 31 staff members, 1,300 business majors, 2,300 pre-business majors, 1,000 undergraduate minors, 160 master's students, and 35 doctoral students. The annual budget of the college is approximately $30 million.
Position Summary

The Executive Assistant reports to the Dean of the Lundquist College of Business and works to ensure effective college operations by providing executive level and administrative support to the Dean in a highly confidential and professional manner.

In this capacity, the position is responsible for planning, organizing, implementing, coordinating, and managing administrative services for the College, exercising independent judgment, as well as decision-making authority in designated areas.

The position requires a high degree of personal initiative, flexibility, and personal judgment in all assignments, along with strong verbal and written communication skills, the ability to organize and prioritize tasks to ensure smooth workflow, excellence in work standards, and a demonstrated interest in providing superior customer service.

The Executive Assistant will also provide periodic support for the Senior Associate Deans, and Associate Dean of Administration as well as serve as a resource for the Department Heads, Program Directors, and faculty and staff of the College.

The Executive Assistant must be able to work occasional nights and/or weekends to fulfill special projects and events and have access to transportation for occasional local travel to meetings as needed.
Minimum Requirements

  • Bachelors degree or an equivalent combination of skills and experience
  • Three years of senior-level administrative experience.

    To be considered qualifying as "senior level," experience must include one or more of the following:
    o Office management experience which includes supervising/leading other office workers; and/or
    o Providing administrative support to an executive which includes exercising delegated authority to handle high-level administrative responsibilities on behalf of an executive; and/or
    o Directing projects, programs, or a department to include accountability for achieving objectives; and/or
    o Experience performing the key responsibilities as defined for this position and which include decision-making authority and use of judgment in handling confidential matters.

  • Demonstrated ability to create and promote a welcoming, collaborative team-based environment in the Dean's Office, maintaining a respectful workplace and modeling a positive attitude.
  • Demonstrated ability to manage stressful situations and to use sound judgment and initiative, particularly as it relates to handling sensitive and/or confidential information.
  • Excellent and effective written and oral communication skills, problem-solving skills, time management skills; attention to detail.
  • Proven proficiency with Microsoft Office applications (word processing, spreadsheet, and database applications) Outlook for email and calendaring (or similar scheduling program).
  • Ability to adapt to changing processes and procedures based on new technologies and new procedures of the faculty Collective Bargaining Agreement.
  • Demonstrated ability to meet deadlines, anticipate needs, prioritize multiple tasks, follow through, and work independently without supervision, while handling frequent interruptions and rapidly shifting priorities.
  • Ability to communicate and work effectively with a broad spectrum of people in stressful or difficult situations.
  • Ability to manage details of multiple and complex projects with firm timelines and schedules.
  • Self-motivated, punctual, reliable, organized, and flexible.
  • Commitment to and experience with promoting and enhancing diversity, inclusion, and equity.
    Preferred Qualifications

  • Experience gained in a higher education setting that matches at least one of the experience types listed under minimum qualifications
  • Five years of senior-level administrative experience.
