The office of Southeast Online at Southeast Missouri State University is committed to student success. Southeast Online's office is comprised of a director, advising team, recruitment team, and faculty support team. The Online Program Specialist reports to the Coordinator of Online Advising. This position plays a critical role in the academic success of online students at Southeast. We seek a dynamic, ethical, motivated professional with excellent customer-service skills, a passion for learning, and a desire to help online students achieve their academic goals. This position will work from 10 am to 7 pm, Monday through Friday.

Primary Responsibilities

  • Serves as a contributing member of the Southeast Online team
  • Provides advising to students pursuing an online degree; support students experiencing cultural, family, personal or economic issues; help students to access appropriate campus and community resources
  • Advises using face-to-face, email, phone, or web conferencing software
  • Works to recruit new students to online programs by preparing recruitment materials, attending recruitment events, and working with prospective students
  • Onboards new online students which includes an extensive review of previous coursework and experience; recommending potential substitutions, obtaining appropriate approvals, and processing the appropriate paperwork; ensure students complete the online orientation; training students on Southeast processes; Discuss goals and strategies to assist online students in selecting an appropriate major that aligns with their goals
  • Serves as a liaison to specified academic colleges and departments; attend meetings; provide demographic, enrollment, and other data; ensure communication flows between Southeast Online and the academic units
  • Performs enrollment management functions by working with academic departments to ensure courses are scheduled for timely graduation and reserving seats to ensure online students have appropriate access to online courses
  • Ensures online student retention through the monitoring of students' enrollment reports following the established communication plan to students; adhering to the flipped advising model; and assisting in maintaining the online orientation
  • Serves as an advocate for online students by working collaboratively with various campus constituencies, including, but not limited to: admissions, academic departments, regional and campus advisors, Registrar, and other on-campus student services
  • Maintains knowledge in the field of distance education, online learning, and academic advising by attending workshops, conferences, webinars, and reviewing research
  • Uses various computer systems to perform the functions of the position including the Banner system, DegreeWorks, SupportNET, and Microsoft 365; accurately process changes to student records in all systems; create and run reports as needed; ensure data integrity


Required Qualifications

  • Bachelor's degree; counseling or higher education degrees a plus
  • Knowledge of academic advising, counseling or closely related area through work experience or an educational setting
  • Demonstrated exceptional customer service skills
  • Demonstrated excellent interpersonal and intercultural communication skills, both verbal and written
  • Strong organizational skills
  • Strong technical proficiency with a demonstrated ability to work across multiple software platforms simultaneously
  • Experience with electronic reports and making data-informed decisions
  • Experience prioritizing and managing multiple tasks
  • Ability to diffuse emotional or tense situations and offer viable solutions
  • Must be able to work shifts between the hours of 10am and 7pm Monday-Friday and an occasional Saturday
  • Demonstrated commitment to a diverse work environment, including working with multicultural populations and an understanding of, and sensitivity to, issues affecting women and minorities
