Job Description Summary

Chapman University’s Office of Donor Relations develops and implements donor recognition and engagement strategies. In collaboration with the Associate Vice President of University Advancement, the Manager of Donor Stewardship plays a critical role and is responsible for creating, implementing, and managing a comprehensive donor acknowledgment and stewardship plan that promotes recognition of donors at all levels. This role drafts, edits, and proofreads various documents and communications for donor acknowledgments including impact and endowment reports. Under the direction of the Associate Vice President of University Advancement, the Manager collaborates with the special events team, the development team and others to create unique stewardship activities, events, and positive and engaging communications for donors that promote retention and deeper engagement.

Responsibilities
  • Draft, edit, and proofread a variety of documents, primarily including endowment reports, gift acknowledgements, and similar documents, but also including cover letters for proposals, proposals, event-related materials, solicitations, and other correspondence.
  • Assist in developing acknowledgement templates to be used by the university’s president and chair of the Board of Trustees, in their correspondence to donors; develop templates for other areas that receive significant and recurring fundraising support.
  • Lead and manage the endowment report development and review process, including by working with the Associate Vice President to develop and implement a comprehensive schedule for the completion of all reports.
  • Proofread final endowment reports for grammatical errors, relevance of attachments to donors, and conversion and layout issues.
  • Support Development Coordinators in their drafting of endowment reports and collaborate with campus partners who are designated as endowment fund recipients, including school and college representatives and faculty, department representatives and other departments as needed to compile and review endowment report content and materials.
  • Assist with developing and editing print and digital materials for university special events, in collaboration with the Office of Strategic Marketing and Communications.
  • Become proficient in the donor relations functionality of the constituent relationship management ( CRM ) database, including but not limited to timely entering activity reports, stewardship plans, report generation and other applicable system functionality.
  • Collaborate with a variety of colleagues on the Development, Special Events, Advancement Systems, and other teams to manage various stewardship and donor relations functions.
  • Perform other duties as assigned.
Required Qualifications
  • Minimum 3 years of professional writing experience.
  • Experience with donor relations and stewardship
  • Excellent communication skills, including the ability to tailor writing to a variety of individual styles and make a persuasive case
  • Excellent proofreading and editing skills
  • Excellent time management skills with the ability to manage multiple projects simultaneously, while paying extreme attention to detail and accuracy.
  • Excellent tact and diplomacy and the ability to maintain a high level of confidentiality
  • Excellent interpersonal and listening skills
  • Research and analytical skills
  • Ability to prioritize and be self-directed in accomplishing goals and tasks in a timely manner
  • Ability to establish and maintain cooperative working relationships as a team member with University
  • Advancement and the greater campus community
  • Knowledge and experience in Microsoft Office Suite applications
  • Bachelor’s degree
  • Master’s degree preferred or bachelor’s degree with equivalent years of experience working in higher
  • Education or non-profit fundraising environment
  • Proficiency with CRM systems; Salesforce CRM experience a plus.
