We are seeking an Administrative Coordinator for the Cell Biology Department which is a multi-function position working semi-independently to perform routine and non-routine duties. Interprets operating policies; exercises independent judgment in the resolution of administrative problems, prioritizing workload, travel and expense reconciliation, purchasing supplies, coordinates special events or programs, such as: seminars, training programs, luncheons, travel, etc.

Specific Duties & Responsibilities:

  • Maintain calendar to reserve Conference Room for department and outside organizations.
  • Secure budget from units not in the department to appropriate bill for room rental.
  • This position is responsible for reconciling the monthly budget statements with receipts and documentation from the faculty labs. This includes gathering the financial documentation and presorting to prepare for monthly reconciliation process.
  • Submit travel and non-travel reimbursements for department members and non-employees securing vendors numbers from A/P shared services as needed.
  • Provide course support throughout the academic year, familiarity with Canvas preferred. This entails uploading documents, preparing tests, recording grades and working with the Registrar’s Office.
  • Prepare reports utilizing SAP
  • Assist with ordering Faculty/Staff lunches as needed
  • Disseminate mail into mailboxes
  • Control arrangements for weekly seminar:
    • Arrange hotel reservation for guest speakers
    • Order lunch food and weekly cookies
    • Submit travel expenses, honorarium, check requests
    • Send out email reminders Mondays and Thursdays
    • Input seminar info to various calendars
    • Create flyers and mini-blank cards
    • Set up snacks and hot beverages
    • Orders supplies as needed
    • Set up Bodian Room with AV equipment
  • In charge of Cell Biology ethics workshop:
    • Planning, order food, conference room reservations, group organization
  • Miscellaneous administrative tasks:
    • File management
    • Order office supplies as needed
    • Assist others in office as needed

Minimum Qualifications (Mandatory):

High School Diploma/GED.

Three (3) years of related experience.

Preferred Qualifications:

  • SAP experience
Special Knowledge, Skills, and Abilities:

Proficiency with MS Word, Excel
