Position Summary

Under the general supervision of the Director of Extension Programs, the Personnel Operations Coordinator supports the College of Continuing Education's (CCE's) internal processes related to employment, onboarding, separations, mandated training, and data analysis for approximately 130 staff. This includes providing support as related to employment services, internal communications, maintaining personnel record systems, and contributing to quality improvement endeavors.

The position responsibilities include helping to maintain CCE's HR administrative record systems; assisting with the implementation of HR related organizational policies and procedures; tracking compliance of employee mandated training; and assisting with and/or coordinating several personnel transactions including processes for recruitment, onboarding, separations, appointment renewals, position description changes, and reclassifications.

FLSA: Non-Exempt

CSU Classification Salary Range: $3, 064 - $5,148 per month

Hiring Range: Anticipated hiring range, within the classification range - $3,064 - $4,106 per month, commensurate with candidate's education, experience, skills, and training.

Salary Grade/Range: 1035-COORDINATOR I-Grade-1

Pay Plan: 12 months

Work Hours: Monday - Friday, 8a.m. - 5 p.m.; work hours may vary depending on department operations

The College of Continuing Education (CCE) extends the mission of the university by increasing access for non-traditional learners. With a primary expertise on serving adult learners, CCE provides programs and services to individuals and employers year-round, unbound by traditional semester schedules and formats. CCE serves a hybrid student body that extends beyond California, serving over 80,000 learners annually through in-person, hybrid and fully online workshops, courses, conferences, certificate and degree programs.

Minimum Qualifications

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

Required Qualifications

Experience
1. Experience in performing duties requiring accuracy and attention to detail.
2. Experience in providing customer service via telephone, e-mail or personal contact.
3. Experience in composing written emails and/or standard memos/letters that demonstrate thorough knowledge of English grammar, punctuation, and spelling.
4. Experience in spreadsheet and/or database data entry.
5. Experience in supporting human resources activities in areas such as employee recruitment, new employee onboarding, employee separation, and employee record keeping.

Knowledge, Skills, and Abilities
6. Commitment to fostering a diverse, equitable, and inclusive work and learning environment.
7. Thorough knowledge of office systems and ability to use a broader range of technology, systems, and packages such as Microsoft Office Suite (Word, Excel, PowerPoint), Smartsheet, Adobe Sign, etc
8. Ability to learn detailed processes and procedures and coordinate completion of work accordingly.
9. Ability to train others on procedures and work flow processes.
10. Team oriented and ability to work collaboratively with stakeholders across the organization.
11. Ability to independently handle multiple work priorities and projects, meet deadlines and goals.
12. Ability to work with advanced spreadsheets and databases to track personnel data and make simple projections.
13. Interpersonal skills to interact effectively with all levels of staff, administrators and external constituencies.
14. Ability to maintain confidentiality and discretion
15. Knowledge of human resources, recruitment, orientation and training practices.

Preferred Qualifications

16. Bachelor's degree in related area of human resources, organizational development, or business administration.
