Position Summary
The Clinic Administrative Coordinator works independently under general direction and reports directly to the Clinic Director. This position is responsible for leading and coordinating class and group client assignments, arranging contacts with the community and clients seeking services in the CCDS office. The incumbent provides primary administrative support to the CCDS Clinic Director, faculty and staff regarding a wide range of operations. Works independently to perform a variety of complex and confidential administrative tasks requiring a high level of initiative, judgment, and discretion; accountable for end results and work performed by others (e.g. 1-2 student assistants). Tasks include coordination of a wide range of programs, projects, and operations which require extensive contact with students, faculty, administrators and staff in School Psychology, Counseling, and Language and Literacy. Responsible for monitoring clients in the CCDS waiting room and providing emergency response as needed. The ASC II makes independent decisions on the coordination, prioritization and monitoring of projects through the review process to completion; monitor and maintain the clinic budget, order materials, handle center phone calls, schedule client appointments and conduct intakes, track client fees, maintain center fiscal and confidential records, provide lead work direction, client loads, and provide other clerical duties as assigned

CSU Classification Salary Range: $3,352 - $5,639 per month

Hiring Range: $3,352 - $3,900 per month

Work Hours: Monday-Friday, 8am-5pm. Hours may vary depending on department needs.

Department Information

The Center for Counseling and Diagnostic Services has been in operation since 1968. The center provides the broader Sacramento region affordable counseling and educational testing.

Services are offered during the academic year: September through December and February through May. If we cannot accommodate specific client needs, referrals to other services can be provided. The center is accessible to individuals with disabilities and there are several bus lines that service the campus.

Minimum Qualifications
Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require knowledge of business mathematics beyond basis arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite. These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.
Required Qualifications
1.Proficiency in written and oral communications, including English grammar, punctuation and spelling. 2.Expertise in using office software packages, technology and systems. 3.Ability to interpret and apply policies and procedures independently, and use judgment and discretion to act when precedents do not exist. 4.Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area. 5.Ability to understand problems from a broader perspective and anticipate the impact of office administration problems and solutions In other areas. 6.Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions. 7.Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference. 8.Ability to effectively write and present own reports. 9.Ability to effectively handle interpersonal interactions at all levels and handle highly sensitive interpersonal situations; ability to maintain confidentiality. 10.Ability to use negotiation and persuasion skills to achieve results and expedite projects. 11.Strong organizational skills Condition of Employment -Ability to successfully pass a background check
Preferred Qualifications
12.Experience working in an institution of higher education. 13.Knowledge of Common Management System (CMS)/PeopleSoft human resources and financial modules 14.Education, experience and/or training relevant to a counseling and/or psychological services setting, including a basic understanding of emergency response procedures. 15.Working knowledge and/or training in Family Educational Rights and Privacy Act (FERPA) and Health Insurance Portability and Accountability Act (HIP AA) compliance
