Responsibilities:
The Administrative Assistant serves as the face of the Department of English, overseeing the front desk and responding to student, faculty, and visitor inquiries. This position supports the undergraduate program, including working with the Undergraduate Studies Committee on course scheduling and elective course offering descriptions. Working with the other department Administrative Assistant, the individual in this role will support any faculty searches, working with the applicant software system and supporting the Search Chair in administrative needs.
The Administrative Assistant will manage departmental space and equipment (including oversight of maintenance, repair, and resupply); oversee daily operations of main office; maintain department phone lists and office schedules; oversee mail distribution and walk-in and phone reception; provide department-wide computer assistance (including Learning Management System support, working with ITS and faculty); attend English Department meetings and produce department meeting minutes; assist Department Chair and Administrative Specialist with data accumulation and evaluation; and take on projects as needed. This individual reports to the Administrative Specialist and works collaboratively with other office staff and the Department Chair, as well as faculty in the Department.
Two or more days each week may involve working remotely, based on operational needs and in consultation with the supervisor, and consistent with university policies and guidance.
Qualifications:
Bachelor's degree and two or more years of experience in a responsible administrative position preferred. Strong attention to detail, mathematical, and technical aptitude with the ability to learn new systems. Strong computer skills, including Excel, Word and SharePoint; ability to solve basic computer issues essential; data management experience highly desirable. Good working knowledge of academic setting desirable, as is the ability to work independently, to work under deadline pressure, and on a variety of tasks at once. Good interpersonal skills essential.
