About the Opportunity

Northeastern University seeks a self-motivated, detail-focused, collaborative and service-oriented individual who is able to independently manage workloads, prioritize and manage ongoing projects, and handle multiple responsibilities. This position requires excellent interpersonal skills, a strong work ethic, and knowledge of and interest in development.

The Development Associate will provide a high level of administrative and logistical support to the Assistant Vice President, Advancement. This position sustains the mission of University Advancement to create a donor-centric environment that encourages and supports philanthropic investment by alumni, parents, and friends to advance the mission and goals of Northeastern University. This is an exciting opportunity to join a high performing team about to enter the public phase of a historic comprehensive campaign.

The Development Associate works independently with minimal supervision; proactively updates supervisor on status of projects. Handles itinerary and meeting preparation, expense processing, and documenting donor activity. Prepares gift documentation. Schedules travel and manages complex calendars. Organizes events (on/off-campus), handling all details to ensure successful execution; works with University Events and Office of Alumni Relations colleagues on larger events. Gathers/maintains data and assists in preparing reports. Implements administrative systems and procedures.

The Development Associate acts as a liaison with other groups/offices across Northeastern University; provides for smooth day-to-day flow of communications. Composes, proofreads, edits and prepares correspondence, reports and other materials. S/he must be comfortable talking to alumni, parents, and faculty on the phone and in person and handle confidential information responsibly. Works on a variety of mailings including the timely acknowledgement of gifts and stewardship reports. Responsible for other administrative tasks as required.



QUALIFICATIONS

The University is seeking a highly motivated, entrepreneurial, energetic individual who can thinking independently and analytically and seeks to build a career in advancement.

  • Bachelor's Degree required and one to three (1-3) years of demonstrated success in a comparable position, preferably in development, or equivalent years of professional experience required.
  • Ability to manage and facilitate an intense workload and produce quality results in a fast-paced environment.
  • Must be able to manage multiple priority projects at once with ease and efficiency.
  • Must be proactive, anticipate problems, be resourceful, and work effectively with colleagues and external constituents at all levels.
  • Strong interpersonal skills necessary for building relationships with external (donors, prospects, trustees) and internal (deans, faculty, staff, colleagues) constituents.
  • Excellent verbal and written communication skills.
  • Strong organization skills and detail-oriented.
  • Highly collaborative in approach.
  • Ability to exercise good judgement when dealing with confidential and sensitive material.
  • Proficiency in Microsoft Word, PowerPoint, Outlook, and Excel. Knowledge of Salesforce a plus.


KEY RESPONSIBILITIES

Office/Administrative Support/Management

  • Provide key support and management of all logistics for the Assistant Vice President, Advancement. Provide general support with document preparation, mailings, and/or fundraising planning activities. Prepare gift documentation and reporting.
  • Manage calendars and schedules, make travel arrangements and reconcile travel expenses; prepare gift documentation. Reconciles budgets and procurement card reports. Research and prepare meeting agendas, briefings, and follow-up materials for both internal and external meetings.
  • Stay up-to-date on Northeastern and related news. Serve as a key point of contact/liaison.


Database Reporting and Management

  • Lead effort to assume that key contacts, correspondence, and strategies are entered in relationship management software (Salesforce and Banner) for major and principal gift prospects. Design and extract reports to oversee and monitor strategic activity with prospects and donors. Monitor and implement systems to assure strategic follow up by senior administrators and faculty.
  • Provide regular reports to Assistant Vice President, Advancement on staff's progress towards goals.


Prospect Management

  • Participate in identification and cultivation of university prospects. Activities may include prospect research, making initial recommendations on promising funding sources, attending internal meetings to take notes and summarize information, help with travel plans, and manage the details of visits to campus by alumni, parents, friends and/or corporation/foundation representatives.
  • Conducts outreach to prospective donors for travel visits. Prepare materials for events and meetings. Oversee research and preparation of briefing materials for meetings and events with donor prospects, assuring that data is accurate and up-to-date. Ensure timely correspondence after meetings and events with donor prospects, faculty, and staff; draft follow-up correspondence. Debrief others on next steps, record results of meetings with donors and prospects in database.
  • Serves as frequent contact with alumni, donors, and prospects. May be involved in volunteer recruitment/management.


Communication

  • Coordinate mailings as needed. Compose, proofread, edit, and prepare correspondence, reports, and other materials. Draft acknowledgements and other direct donor/prospect communications. Collaborate on stewardship projects. Participate and assist in the discussion and facilitation of a cultivation and stewardship strategy for prospects and donors.
  • Help maintain communication with internal and external constituents, including reaching out to other Advancement staff, administrators in other units, and faculty members for the purposes of coordinating schedules and activities, managing events, and gathering information.


Event Management

  • Organize and execute, as a member of a team, high level events designed to recognize and engage major and principal gift prospects. Event logistics include: developing invitation lists, tracking responses, managing event production, collaborating with staff in various departments across the colleges, Advancement, University Special Events, and/or the Office of Alumni Relations on university-wide events, campaign related events or college-specific events.
  • Work with the Assistant Vice President, Advancement to develop event strategy and target event demographics and locales.
