Over the past five years, outreach efforts to communicate the value and impact of a Colby education have resulted in more than doubling the number of students seeking admission to Colby and setting several institutional records for funds raised. Major initiatives made possible through Colby’s campaign, Dare Northward, are enriching the student experience and positioning Colby’s home city, Waterville, as a destination for the arts and culture.
Propelled by visionary leadership, a compelling array of initiatives, and record fundraising in fiscal year 2017, Colby launched the largest fundraising campaign ever at a liberal arts college—$750 million—in October 2017. With the success of the Dare Northward campaign, the College will be known for a distinctive set of multidisciplinary academic offerings; an even more cohesive and accessible institutional culture for students from all backgrounds; the foremost art and athletic facilities in the educational sector; a welcoming, thriving, and dynamic surrounding community; increased global connections and resulting perspectives; the richest set of universal student experiences to enhance the Colby academic program; and the capacity to support the postgraduate success of every one of their students.
The gift planning coordinator oversees daily administrative and operational aspects of the Office of Gift Planning, including programming, mailings, and data management. Reporting to the Director of Leadership and Planned Giving, the coordinator will have the ability to work independently on projects, from conception to completion, and must be comfortable working in an evolving, fast pace environment while handling a wide variety of activities and confidential matters with discretion. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES :
  • Work with the Gift Planning team to plan, organize, and execute all aspects of the programs
  • Act as point person for questions and inquiries about Gift Planning, including email, phone, text, and face-to-face
  • Supervise, train, and evaluate student workers
  • Serve as a resource for team members to address their data management needs and interaction with the Raiser’s Edge (RE) database; assist with data management including data entry, queries, requests, and resolving issues
  • Proofread a significant amount of written communications (letters, documents, contracts) that are typically formal, confidential, and of a highly personal nature for the donor, and that potentially have legal and tax implications that may be subject to scrutiny from the Internal Revenue Service
  • Perform all coding in the RE database necessary for the tracking of Colby Legacy Society members, future Bequest Expectancies, and current gifts to establish Life Income Plans at Colby
  • Prepare annual performance reports for Colby managed trusts
  • Package and mail Colby Legacy Society welcome packets per team requests
  • In conjunction with team members, participate in the annual creation of a comprehensive marketing and communications plan and corresponding calendar – assist with budget and timeline requirements including tracking results and appropriate follow-up
  • Coordinate with Advancement Communications, Business Analytics, and external vendors on timing, content, design, mailing lists, and production
  • Develop a working understanding of planned giving vehicles and structures to effectively communicate their benefits and impact
  • Perform additional duties as assigned; duties, responsibilities, and activities may change at any time with or without notice
QUALIFICATIONS :
  • Bachelor’s degree or the equivalent in education and experience
  • Two or more years of relevant work experience in education, museums or cultural institutions, or community-based organizations
  • Excellent communication (written and verbal) and organizational skills with a high level of motivation and initiative
  • Must possess exemplary interpersonal skills and the ability to interact with staff and management throughout the College and with external constituents
  • Attention to detail and accuracy are critical
  • Ability to handle confidential information tactfully
  • Talent to manage multiple projects and priorities while working within deadlines to achieve ambitious goals
  • Highly developed computer skills including extensive experience using Microsoft Office Suite; Google Docs; email, web, and database applications, as well as an interest in and ability to learn new computer programs with ease and in a self-guided manner
  • Ability to work collaboratively in a complex fast moving environment and to make an impact through work as a member of a team and diverse community
  • Commitment to the core values of liberal arts education
  • Must be a motivated problem solver; able to work independently
KEY RELATIONSHIPS :

This position works directly with the Office of Gift Planning and will have significant contact with division staff, particularly the Leadership Giving team. The position will also interact regularly with other department staff and occasionally with faculty, students, alumni, parents, and visitors.

WORKING CONDITIONS/PHYSICAL REQUIREMENTS :

General open office and campus environment. Position involves sitting with an optional standing desk, although frequent movement is necessary. Occasional lifting is required. Computer usage involving repetitive hand/wrist motion is also necessary. Some evening/weekend work required.

CONDITIONS OF EMPLOYMENT :

Successful and satisfactory completion of a background check (including a criminal records check). All students, faculty, and staff who are present on campus must be vaccinated and boostered against COVID-19, unless granted an exemption or accommodation by the College.
