The Senior Executive Assistant
performs a variety of management functions to carry out the
activities of the President's Office. The Senior Executive
Assistant works closely with the President and the Board of
Trustees in planning, initiating, and carrying to completion varied
administrative activities. The Senior Executive Assistant acts as
liaison between students, the faculty and staff, community,
President and Board. The position involves an extensive knowledge
of the Special Assistant to the President and Board and President's
responsibilities and routines and college policies and procedures.
The position also requires the ability to communicate effectively,
orally and in writing, and to demonstrate tact, diplomacy and
confidentiality when dealing with faculty, staff, students, Board
of Trustees, press and the public. The Senior Executive Assistant
makes decisions on administrative matters and works independently
with minimum supervision.
3+ years of related work experience with senior level executives,
with ability to work without supervision
Proven commitment to confidentiality
Strong organizational, interpersonal, and communication skills;
ability to work on numerous projects simultaneously;
Effective problem-solving skills, including conflict resolution and
Ability to work fluently within various types of software
Detail oriented with commitment to accuracy while meeting

its organization, processes, key contacts, and best ways to “get

Position Details: Job duties include but
are not limited to:
Major Operational Position Responsibilities
a. Manages all communication and follow-up related to the
President's office general email account, troubleshooting concerns
raised by students, employees, community members, business and
education leaders, and elected officials.
b. Manages local and overnight travel arrangements for the
President and Board of Trustees; prepares travel requests and
travel reimbursements; manages travel card and out-of-pocket
expense reports and manages the approval flow of the President and
Board of Trustees in Concur travel system.
c. Attends monthly Board subcommittee meetings and Board of
d. Writes and prepares neutral, clear, objective, accurate and
complete board minutes.
e. Prepares presentations for President's use at local and
national/international meetings and conferences.
f. Manages accurate budget and accounting records by paying
invoices, tracking costs and keeping account balances and initiates
budget transfers when necessary for the budgets of the President
and Board of Trustees; assists with budget preparation.
Specific Committee Position Responsibilities
a. Manages the Board of Trustees communication portal (SharePoint)
for the President's Office and Board of Trustees.
b. Serves as back-up to the Special Assistant to the President and
Board by coordinating with Board of Trustee committee members the
scheduling of monthly meetings, agenda preparation and recording of
official committee minutes.
c. Works with the President and office team in preparing for
monthly board meetings, including helping compile the Board packet
support materials, submitting marketing requests for web updates,
setting the Board room and serving at check-in.
d. Serves on other college committees as requested and performs
special assignments as requested by the Special Assistant to the
President and Board, and President.
General Position Responsibilities
a. Conducts research assignments, prepares reports, correspondence
and related communications as assigned by the Special Assistant to
the President and Board, and President.
b. Provides leadership to the President's office support staff by
training, answering questions and providing day-to-day work
direction as needed.
c. Develops and Manages President's Office databases required to
facilitate and support office projects.
The responsibilities described represent the primary

by the supervisor as warranted by business needs. The incumbent is
