Job Summary

The University Memorial Center (UMC) at the CU Boulder encourages applications for the Evening Event Setup Lead! This position provides lead support for the setup staff who provide event setup functions for the many lectures, meetings, banquets, and conferences that take place in the UMC. Setups are based on information provided by the CU Events Planning and Catering Office who work with clients to determine event and meeting setup needs. Position also assists the UMC AV team in the setup and operation of the AV/PA equipment. Position leads the UMC setup team in the daily and annual cleaning of event and meeting spaces in the UMC, as well as offices and exterior spaces of the UMC. Provides supervision and training for FTE and student staff on event setup, cleaning and maintenance procedures, and safety in the workplace. Position provides backup support for the UMC Setup and AV Manager.

What Your Key Responsibilities Will Be
  • Lead the evening setup team in providing timely and expected setup support per customer requests (through EMS, 7Pts, and Social Tables, and other software systems) in the ballroom, meeting rooms, and other event spaces throughout the UMC and various off-site locations. Meeting and event spaces are routinely turned over several times during a shift and position lead staff in the resetting and cleaning of spaces in preparation for the next event or meeting. Schedule work assignments, forecast division of labor/resources, approve time submittal, monitor work completion, and ensure availability of necessary supplies and equipment. Position may occasionally be required to drive a university vehicle to obtain parts and supplies or to off-site event locations. Train new staff in all aspects of their job. Act as back-up administrator for the 7Points software system.
  • Lead staff in the daily cleaning and annual maintenance of event and meeting spaces, offices, outdoor spaces and restrooms throughout the UMC. This includes emptying waste and recycling receptacles, cleaning carpets, stripping and sealing of hard floors, window cleaning, washing walls, and cleaning furniture and other equipment. Report damaged or broken equipment to the UMC Maintenance staff to initiate repairs.
  • Work collaboratively with and coordinate work flow with the other Setup Lead, transitioning work assignments and project to its team to complete. Position reviews time keeping systems to ensure employee time is recorded correctly and submitted weekly.
  • Lead team in the moving of furniture, office equipment, and other large items in support of the UMC and its operations. This may be in preparation for the arrival of new replacement furniture, capital projects, moving of offices and other program areas within the UMC.
  • Assist AV & Setup Manager with staff and student employee evaluations, coaching sessions, trainings, and other duties as needed.
  • Provide professional AV/PA backup support for the AV Team, providing conference-related AV services as needed.
  • Represent the UMC Setup and AV Manager as needed at internal and external client meetings. Participate in UMC leadership, planning, and staffing meetings and represents the UMC in Division meetings or committee work as needed and as appropriate.
What You Should Know
  • These positions current schedule is Tuesday - Saturday 12:30p - 9p.
  • This position is expected to work evenings, weekends, and occasional shifts outside of normal hours.

  • Starting salary range is $38,000 - $42,216.

What We Require
  • One year experience performing setups in a large event center, hotel, theatre, or other venue with multiple event spaces. Appropriate education will substitute for the required experience on a year-for-year basis.
  • A valid driver's license.
What You Will Need
  • Ability to work independently and in a team environment.
  • Ability to anticipate, troubleshoot, and tackle problems in a fast-pace work environment.
  • Excellent computer skills and an ability to learn multiple event management scheduling software platforms.
  • Excellent customer service skills with an ability to communicate in a professional manner both in writing and in person.
  • Some experience in Audio Visual event production including equipment setup and troubleshooting.
What We Would Like You To Have
  • 2 years experience performing setups in a large event center, hotel, theatre, or other venue with multiple event spaces.
  • 1 year experience of related experience in Audio Visual Event Production including equipment setup and troubleshooting.
  • Demonstrated experience as a shift lead, manager or supervisor.
  • Experience working in a college or university environment.
