SFCC is one of two accredited community colleges that comprise the Community Colleges of Spokane (CCS). In addition to serving the urban and suburban population in greater Spokane, including students from Fairchild Airforce Base, CCS provides educational services to rural communities throughout our 12,302 square-mile region in Eastern Washington, including students from the Spokane and other Eastern Washington tribes.

Serving about 8,200 students, SFCC endeavors to be an educational leader and a responsive partner with the community and region to provide access to relevant programs of the highest quality. We offer a large liberal arts/transfer program (approximately 75% of total enrollment) as well as state-of-the-art professional technical programs (about 25%). The Community Colleges of Spokane is seeking a highly motivated and qualified individual for the position of Director of Admissions and Registration in the Admissions and Registration Department. 

GENERAL DEFINITION

Under the direction of the Vice President of Student Affairs, the Director of Admissions & Registration works collaboratively across the college to ensure quality services that contribute to student onboarding, retention and success.

Specifically, the director is responsible for the administration of all student admissions, student records and reporting, records processing, grade reporting, recruiting, as well as the storage, maintenance, and security of academic records.

CHARACTERISTIC DUTIES AND RESPONSIBILITIES

  • Participate and serve as part of the Student Affairs leadership team. Lead initiatives as determined by the VPSA, supporting, and advancing the Community Colleges of Spokane (CCS) strategic plan. *
  • Lead the day-to-day operations of Admissions & Registration, ensuring compliance with records retention policies, Family Educational Rights Privacy Act (FERPA), Washington State rules and regulations, and policies and procedures established by CCS as well as data integrity. *
  • Develop and maintain registration and records procedures and processes making sure they are consistent within CCS and compliant with the State Board for Community and Technical Colleges (SBCTC) and federal law. Once approved, implement procedures and processes ensuring smooth operations of the Registration & Records department. Develop and implement specific college registration processes for special programs, class overload, adds/drops/withdrawals, and others ensuring specific registration processes are handled appropriately. *
  • Lead the planning, coordination, organization, and implementation of the college’s registration calendar, ensuring accurate information and smooth student registration. *
  • Organize and administer the records, registration, and graduation functions, including transcript evaluations and admissions to provide maximum service to students while ensuring efficient and effective workflow. Establish expertise in transfer requirements, policies, and procedures. *
  • Supervise the coordination, evaluation, and certification of all graduation applications, while overseeing the graduation team to include all elements of the rehearsal and ceremony for both Spokane Main and Pullman campus. *
  • Respond to student registration issues, ensuring responses and/or actions are appropriately taken. Has authority for first level approval/denial of academic actions and refund exceptions. *
  • Oversee and administer the Academic Standards Policy and procedures for the college. *
  • Oversee applicable enterprise resource planning (ERP) systems (i.e., PeopleSoft) and future systems ensuring staff utilize software to properly register students either by walk-in, mail, or the web. Innovate using technology and superior customer service strategies (including use of a customer relationship management (CRM) system) to provide outstanding service across the college and district. *
  • Supervise (train, schedule, evaluate, discipline, and respond to grievances) full/part time classified, professional exempt, temporary and work-study employees. Adhere to classified contracts and all district rules and regulations ensuring efficient operations and student success. *
  • Inform and educate staff about behavior and performance expectations, provide timely and accurate feedback regarding performance, and ensure performance and behavioral problems are corrected promptly and effectively. *
  • Maintain budgets and fiscal direction, organization, and governance of assigned programs and services. Keep the Vice President of Student Affairs informed of budget status and develop and submit proposed operating budgets for the fiscal year. *
  • Oversee the collection and dissemination of data needed for accreditation, grants, reports, proposals, and budgets. *
  • Through supervision of the Student Recruitment and Onboarding Manager, provide leadership to the Bigfoot Discovery Center including development and refinement of the college’s recruitment and enrollment management plan. Leverage technology, events, and communication strategies to effectively promote SFCC and guide students through the application, orientation, and registration process. *
  • Facilitate advancement of the guided pathways model by promoting the connection between pathways and transfer/career in outreach efforts, simplifying the admissions process, using data to continuously improve the onboarding experience, developing metrics and interventions through the enrollment funnel, and by providing data to pathways teams. *
  • Serve as ex-officio member of the Curriculum Committee. *
  • Represent SFCC on the state board’s Admissions and Registration council. *
  • Model professional decorum and mutual respect in all personal interactions. *
  • Comply with district policies, procedures and directives, state and federal regulations, orders and statute and collective bargaining agreements. *
  • Support and advance the CCS strategic plan, and perform other duties as assigned. *

COMPETENCIES & OTHER REQUIREMENTS:

REQUIRED COMPETENCIES (MINIMUM QUALIFICATIONS)

  • A Master’s degree in Business, Public Administration, Education, or another closely related field from an accredited institution. Or an equivalent mix of education and experience that demonstrates the candidate meets all competency requirements for this position.
  • Three (3) years of experience in related area.
  • Proven record of successful supervisory experience across employee classifications in a people-oriented environment and exemplary customer service.
  • Expertise in college admissions and registration policies and procedures.
  • Ability to interpret and implement statutory and institutional record retention requirements.
  • Familiarity with FERPA and other applicable state and federal laws.
  • Expertise in enrollment and/or CRM best practices.
  • Ability to connect department goals and objectives to resource allocation and manage budgets.
  • Ability to interact effectively with students and collaborate with other departments, and external entities.
  • Experience working in a constantly evolving, faced-paced environment with a focus on supporting student and/or client success and satisfaction.
  • Experience gathering information for reports, utilizing data to inform decision making and strategic planning.
  • Excellent interpersonal, oral, and written communication skills.
  • Ability to use computerized information/software relevant to the position, including student information systems and CRM software.
  • Commitment to closing gaps in higher education created by racial, social, and economic differences 
  • Acceptance of the responsibility to promote the welfare and best interests of students at all times.
  • A demonstrable understanding and acceptance of the mission, values, goals, objectives and strategic plan of CCS.
  • The ability to perform assigned duties in a manner consistent with applicable laws, regulations and goals of the institution, and community and technical college system.
  • Demonstrated commitment to fostering and supporting a teaching, learning and working environment that honors diversity, equity and inclusion.

PREFERRED COMPETENCIES (DESIRED QUALIFICATIONS)

  • Three (3) years of supervisory excellence in related area.
  • Experience supervising employees in a unionized environment.
  • Expertise in closing gaps in higher education created by racial, social, and economic differences.
  • Quantifiable experience implementing strategies that increased applications, increased conversion rates, and/or eliminated equity gaps within the enrollment pipeline.
  • Understanding of and commitment to the goals and principles of the Guided Pathways model.

CONDITIONS/TERMS OF EMPLOYMENT:

TOTAL COMPENSATION WITH BENEFITS $107,639.

Person hired must be able to provide acceptable documentation of U.S. Citizenship or lawful authorization to work in the United States. This is an absolute condition of employment. CONDITIONS OF EMPLOYMENT

  • Contract 12-month position.
  • Position is exempt from Fair Labor Standards Act (FLSA).
  • Requires local or regional travel. If using personal vehicle proof of driver's license and car insurance required.
