Department Vanwylen Library Job Description
Serves as the office manager for the department. Duties as described below support the mission of the department, which in turn, supports the mission of the college.
  • Serves as office manager for the department.
  • Supervises students and volunteers who assist with office tasks and archival processing.
  • Acts as a receptionist for those visiting the Joint Archives. Greets visitors, ascertains nature of business, and refers to the director as appropriate.
  • Provides basic to moderate reference assistance to visiting patrons, including computer searches, retrieval of materials, and instructions on usage.
  • Assists in developing and layout of Joint Archives publications, including the Joint Archives Quarterly.
  • Administers the creation and maintenance of accession files.
  • Administers and maintains the Hope College website section for campus access to minutes and agendas.
  • Uploading collection registers for facilitating computer access by online researchers.
  • Makes copies of correspondence and other printed materials. Files correspondence, topical materials, minutes, and other materials.
  • Coordinates large mailings.
  • Helps to develop and administer the details of Joint Archives special events.
  • Transcribes and edits oral histories.
  • Routes incoming mail and prepares outgoing mail.
  • Answers the telephone, providing information or routing to the appropriate person.
  • Converts media from analog to digital ( VHS videotapes, etc.)
  • Digitizes photographs and documents.
Qualifications
  • Requires a minimum of a high school diploma
  • Ability to provide excellent customer service.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before researchers or employees of the Joint Archives of Holland.
  • Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several variables.
  • Excellent typing and word processing skills and good oral and written communication abilities essential.
  • Familiarity with computers (Microsoft Office Suite and Google Suite preferred) and ability to learn a variety of new software systems
  • Ability to work independently.
Physical Demands
This position requires remaining in a sitting or standing position for frequent periods of time; uses office machinery such as a computers, printers, copy machines; Occasionally involves moving items over 10 pounds; frequently will move between different offices/workspaces/buildings; and requires effective communication abilities.
