As a part of a diverse community of faculty and staff who represent many faith systems and worldviews, Marian University seeks qualified applicants for the position of Office Manager for E. S. Witchger School of Engineering, reporting to the Dean of the Witchger School of Engineering, to promote our Catholic Franciscan mission and identity.

Marian University-Indianapolis, is a Catholic, comprehensive, regional institution of higher education dedicated to excellent teaching and learning in the Franciscan and liberal arts traditions and offers a multitude of undergraduate, graduate and professional programs. The E.S. Witchger School of Engineering (WSOE), opening in Fall 2022, is seeking an innovative and energetic colleague to join the school in promoting Marian University’s Catholic Franciscan mission and identity by working with engineering faculty, staff and students. The office manager will work with the dean of engineering at all levels of unit operations including administrative and clerical support. We are seeking applicants who are detailed-oriented, accurate, and adheres to the strictest confidentiality regarding data and information.
 

Essential Duties and Responsibilities:

  • Actively engages the Catholic Franciscan mission and identity of Marian University by modeling the Franciscan Sponsorship Values, honoring the legacy of the founding congregation, promoting unity in diversity, and integrating the Catholic Franciscan intellectual traditions in courses, programs, and services.
  • Supervise staff and student workers in the WSOE distribute college-wide work to other assistants as needed.
  • Manage and process all university paperwork with regards to WSOE faculty/staff including part-time faculty.
  • Maintain an accurate budget for the E.S. Witchger School of Engineering.
  • Maintains office filing and records system.
  • Manage all documents requiring Dean’s approval.
  • Schedules appointments, committee meetings, and faculty meetings for WSOE.
  • Makes necessary arrangements for meetings including securing rooms and arranging for special needs, i.e., speaker phone equipment, A/V equipment, food/beverages as requested.
  • Answers telephone, gives out information as appropriate, and/or routes calls to appropriate person/office, takes messages as needed.
  • Manage new faculty and staff hiring process.
  • Oversee and assist with occasional event planning for special groups.
  • Support faculty with the planning of the annual Science Fair.
  • Coordinate all aspects of office mailings, including mass mailings.
  • Generate correspondence to and from the E.S. Witchger School of Engineering.
  • Order/manage office supplies and marketing products for Witchger Engineering.
  • Perform all other duties as assigned.

Required Qualifications:

  • College degree is preferred. Will consider high school graduate with some college and professional experience.
  • Experience supporting executive-level staff with three to five recent years of experience, preferably in higher education.
  • Exhibit professionalism and high ethical standards for maintaining confidential information.
  • Commitment to customer service and ability to connect with a multitude of audiences.
  • Excellent communication skills (verbal and written).
  • Project and event management experience.
  • Strong initiative and critical-thinking skills.
  • Ability to multi-task, problem solve, and meet deadlines.
  • Ability to write, analyze and interpret financial reports, and legal documents and utilize this information in planning processes.
  • Thrive in a fast-paced environment.
  • Fluency with technology and experience with Microsoft products introducing Word and Excel.
  • Desire and willingness to learn new technology platforms and systems.
