The Cary Center is seeking an Academic Programs Administrator I/II to manage the efforts of its Nonprofit Affiliate Program, the Volunteers in Philanthropy Program, and the Women’s Philanthropy Board Mentoring Program. The position will be responsible for managing all aspects of the academic, educational, and scholarly outreach efforts of these programs.

Essential Functions

This position will work in tandem with the Executive Director of the Center and the Director of the Women’s Philanthropy Board to conduct a variety of high level of administrative/professional program support responsibilities including:
  • Plans, designs, develops, manages, and executes programmatic strategies.
  • Creates, coordinates, and oversees all aspects of the Cary Center Nonprofit Affiliate Program, the Volunteers in Philanthropy Program, and the Women’s Philanthropy Board Mentoring Program.
  • Ensures relevant guidelines, specifications, policies and/or procedures are enforced and followed.
  • Provides information to and facilitates communication between administrators, faculty, staff, students, stakeholders, and participants concerning programs/services.
  • Writes, plans, coordinates, manages, and edits an assortment of communications (including press releases, printed materials, event programs, advertisements, sponsor recognition materials, web sites, and social media sites).
  • Serves as a spokesperson (including public speaking engagements) regarding information about the educational programs/activities.
  • Initiates, plans and develops, and manages all program logistics.
  • Monitors budget and grant funding and ensures expenditures are within specifications and in line with spending projects.
  • Maintains relevant databases to ensure accurate and accessible records for all programs’ list serves, address lists, stakeholders, and program attendees.

  • Strong strategic planning and management skills.
Minimum Technology Skills

Minimum technology skills include:
  • Proficiency in usage of office equipment that includes desk top computers, lap tops, printers, copiers, telephone systems, cameras (digital and video), and DYMO ;
  • Proficiency with presentation, design, and video conferencing software such as PowerPoint, Canva, Adobe Creative Cloud, Publisher, Mailchimp and Zoom; and
  • Basic knowledge of Outlook and social media venues such as Facebook, Twitter, Pinterest and Blogs.

Desired qualifications include:
  1. Master’s degree from an accredited institution in Human Sciences, Business Administration, Public Relations, Hospitality, Nonprofit Management, Education, Liberal Arts or related field and
  2. Experience or knowledge of higher education including but not limited to:

  • working with and in coordination with various academic units, administration, faculty, foundation and university accounting departments, communications and marketing, contracts and grants, advancement, and risk management;
  • basic knowledge of Banner and Advance;
  • working with people of all ages and backgrounds and especially with nonprofit professionals and organizations, volunteers, donors, customers, and philanthropic organizations;
  • conducting nonprofit organization capacity building programs;
  • managing and leading scholarly outreach programs that require excellent event planning skills;
  • creating and managing web sites;
  • negotiating with a multitude of entities including talent agencies, hotels and restaurants, and media outlets;
  • managing and adhering to budgets;
  • compiling and presenting information to large and small groups of stakeholders, participants, and interested parties.
