POSITION DETAILS

The Office of Facilities Planning, Construction, and Management (FPCM) for The City University of New York (CUNY) is responsible for the University’s Capital Program which provides new facilities, renovations, and upgrades to the University’s 300 buildings across 25 colleges and professional schools. FPCM’s goal is to preserve the University’s campus assets, and when appropriate expand the University’s facilities portfolio, to meet 21st century demands. The Chief of Staff (COS) to FPCM serves as the key advisor to the University’s Vice Chancellor for Facilities Planning, Construction and Management.

 

The COS supports and advises the Vice Chancellor in the supervision of the five FPCM departments that work closely with one another to deliver capital projects and facilities management that will best serve the University and its colleges. These departments are Design, Construction and Management; Financial Management and Administration; Space Planning; Real Estate Transactions; and Sustainability and Energy Conservation.

 

Key responsibilities include, but are not limited to:

  • Assists the Vice Chancellor (VC) in all aspects of managing and leading FPCM. Supports the VC in the management of the University’s Board of Trustees’ Committee on Facilities Planning and Management and The City University Construction Fund’s Board of Trustees. Supports FPCM’s Legal Counsel with drafting of all resolutions, board materials, correspondence, and presentations. Works cooperatively and collaboratively with University central offices and departments, including the University’s Office of the General Counsel, the University’s Budget Office, and with each of the University’s Colleges and their key campus administration officials, faculty and staff. Undertakes special projects and plays a key leadership role on behalf of the VC to follow up and bring projects to completion. Leads certain initiatives within the department and leads senior directors within the department through reporting and completion of initiatives. Liaises with leadership at the colleges to follow up on critical issues and problem solving. Approves Travel and Expense report requests for assigned staff in CUNYfirst. Approves professional development for several Research Foundation staff. Provides approvals for office IT equipment requests, office supply purchases and new/replacement phones for assigned staff. Serves as approver for repairs/maintenance/inspections and tracking of fleet cars and parking garage charges. Supervises administrative assistants and receptionists and tracks conference room bookings.

 

Note: Until further notice, work will be performed in a hybrid manner with 70% onsite presence. All CUNY employees must reside within a commutable distance to the Tri-State area.

 

Candidates will be required to provide proof of being fully vaccinated against COVI D-19 upon commencing employment. Exemption (medical or religious) requests to this requirement will be considered in accordance with applicable law. Being fully vaccinated is defined for this purpose as being at least two weeks past their final dose of an authorized COVID-19 vaccine regimen. Final candidates must be fully vaccinated as of their first day of employment.

 

QUALIFICATIONS

Bachelor’s Degree in Accounting, Finance, Economics, Business, Political Science or other related field and eight years of related experience are required.

 

Preferred Qualifications:

  • MA in Business Administration, Government Relations, or other related field Experience working in a large, complex organization in the public sector and/or higher education preferred Demonstrated experience with PeopleSoft (CUNYfirst a plus) Advanced proficiency in Excel, Word, and PowerPoint Experience in prioritizing projects, meeting deadlines and initiating follow through with meticulous attention to detail and high-level accuracy both individually and in a team setting Exceptional interpersonal skills and the ability to maintain working relationships with staff, partner agencies, colleges and all other internal and external partners with the utmost professionalism Business acumen, collaborative leadership, and organizational and communication competencies Excellent problem-solving skills Demonstrated ability to understand complex problems with multifaceted aspects and skillful at negotiating and bringing consensus for solving issues.
