Position Function

Reporting to the Senior Director of Foundation Operations, the Executive Project Manager is responsible for performing a wide variety of project management and executive administrative duties to ensure the efficient and effective operation of the BSUF Foundation. Provides executive level support and analysis to the Sr. Director and the Foundation President such as analysis of complex, confidential, and sensitive issues and special projects that support the objectives of the Foundation.
The successful candidate models discretion and confidentiality; contributes to a positive work environment through action and communication and promotes collaboration with the campus community. This individual is a servant-leader with the leadership, diplomacy, and governance skills to support the day-to-day planning, strategies and operations of the Ball State Foundation and governance boards. This position directly interfaces with key volunteers and staff from across the Foundation associated with the Foundation Board, Alumni Council, and strategic planning to ensure that all relevant stakeholders are engaged, informed, and have visibility into the planning details.

Minimum Education

Bachelor’s degree from an accredited institution. Or, in lieu of Bachelor’s degree, Associate’s degree with an additional two years of related experience.

Minimum Experience

Three years of related experience.

Competency using interpersonal skills with tact, patience and courtesy; ability to work
confidentially with discretion; ability to work independently with little direction; ability to compose
correspondence and prepare reports independently and from oral instructions; detail oriented;
excellent communications skills, both oral and written.

Job Duty

Work with Sr. Director of Foundation Operations to plan and coordinate meetings of the Ball State University Foundation Board of Directors, Alumni Council, committee meetings and task force meetings. Primary manager for logistics for meetings (reservations, announcements, agenda, hotel reservations, etc.); transcribe board and committee meeting minutes; perform any other related duties that relate to the Board of Directors.

Support the strategic direction and provide strategic input to the BSUF President and Sr. Director of Foundation Operations regarding governance documents of the BSUF Board and BSUAA Alumni Council.

Act as custodian of all official records of the Foundation Board and Alumni Council including the maintenance of the Articles of Incorporation and By-laws of the Foundation and Alumni Council; manage the database of vital information for all present and past Board of Directors; provide updated information to Advancement Services and/or update the donor database; facilitate the delivery and presentation of necessary service awards; maintain the recognition boards for the Board of Directors and its officers.

Research, analyze and standardize documented procedures and processes to improve efficiency and effectiveness of Foundation operations. Confer with Sr. Director of Operations and Executive Leadership Team to develop or implement new policies or procedures for continuing process improvement.
Generate presentations, data tables, charts and graphs to present data using PowerPoint and Excel reports and assist with administrative projects as needed. Create agendas, presentations, and other materials for university internal and external meetings; maintain accurate division org charts. Create and maintain spreadsheets, databases, reports, graphs, charts and presentations.

Develop process documentation and align resources to support the achievement of the Foundation strategic goals; manage human resources initiatives, expedite workflows to achieve target metrics.
Coordinate the annual reporting process, including the development and maintenance of progress report templates on the Foundation strategic plan.

Provide event support to the Sr. Director of Special Events and Foundation Board Relations to plan and facilitate all Foundation Board of Directors and Alumni Council engagement events.
