Summary of Job Duties:Will work under the supervision and provides administrative support for the Department Heads of Biological Science and Physical Sciences. This position reports to the Department Heads of Biological Science and Physical Sciences.

Qualifications:

Essential Job Duties and Responsibilities:
  • Maintain records, including computer and paper files.
  • Prepare travel arrangements, travel requests, and travel reimbursements.
  • Prepare faculty load reports.
  • Prepare textbook, supply, and printed material orders.
  • Enter schedule information into university database system.
  • Prepare monthly department reports pertaining to budget, enrollment, and advising.
  • Order materials/equipment approved for use in laboratories and research.
Other Job Duties and Responsibilities:
  • Maintain department head appointment calendars.
  • Maintain interdepartmental communications.
  • Maintain office equipment.
  • Maintain supply inventory.
  • Perform duplication tasks per request.
  • Maintain knowledge of current college and university policies and procedures.
  • Other duties as assigned.
Responsible for maintaining a positive work atmosphere by acting and communicating in a manner to foster teamwork and by providing leadership to subordinates. Requires consistent on-time attendance.

Knowledge, Skills, and Abilities: To perform the job successfully, the following competencies are required for the essential functions of this position:
  • Good working knowledge of grammar, punctuation, and spelling.
  • Knowledge of general office procedures.
  • Knowledge of basic record keeping procedures.
  • Strong computer skills including data entry, word processing, and spreadsheet programs.
  • Strong organizational skills.
  • Strong interpersonal skills, including the ability to handle confidential information with absolute discretion.
  • Ability to operate standard office equipment.
  • Ability and willingness to interface with faculty, staff, students, parents, and other stakeholders in a professional and collegial manner.
Required Education and/or Work Experience: High school diploma or equivalent and three years’ of specialized training in a secretarial field or equivalent experience. Other job-related education and/or experience may be substituted for part of above requirements.

Preferred Education and/or Work Experience: Associate degree and two years’ of specialized training in a secretarial field or equivalent experience is preferred.

Working Relationships: Frequent contact with faculty and students, as well as contact with other university personnel and administration.

Additional Information:

Special Job Dimensions: Work performed primarily in an office setting. While performing the duties of this job, employee regularly exhibits digital dexterity when entering data into computer, sits for extended periods of time, and occasionally stands and walks. Vision demands include close, relatively detailed vision when focusing on a computer screen. Employee regularly talks and hears. Employee occasionally lifts items up to ten (10) pounds. Normal working hours are 8:00 a.m.to 5:00 p.m., Monday through Friday. Extended hours occasionally required.

Background Check Requirements: Criminal background check and motor vehicle registry (MVR) check.
